Summary:

The Administrative Specialist for Scheduling and Events assists the Scheduling and Events department, the Ambler Campus Director's Office, the Ambler Arboretum, and the entire Ambler campus as needed with programs and event support. They are a front-line contact person for internal and external customers.

The Administrative Specialist will answer questions regarding scheduling, programs, and events. In addition, this position will provide support to the Director of Scheduling and Events and the Events Logistics Coordinator. This position will correspond with internal and external customers; track registrations and reservations; assist with creating and submitting Facilities work requests for housekeeping, room setups, and maintenance issues. They will coordinate IT support coverage and audio-visual needs with IT Services; communicate with Campus Safety and make arrangements for special campus safety needs; and coordinate Campus staff and student event staff to assist at events.  The incumbent will also prepare program materials and information, such as directional signage, agendas, handouts, photo release forms, etc. Additionally, this position will assist and support day-of functions at events, as needed.

The Administrative Specialist oversees the Campus mailroom which includes receiving, sorting, and distributing mail and packages and maintaining a neat and organized space.  They manage and train student workers in the Director's Office and assist with student event staff management.

This position will serve as the Saturday on-campus point-of-contact for weekend campus activities. The incumbent's regular schedule is Tuesday through Saturday however, they may occasionally be asked to work early mornings, evenings and weekends to ensure professional staff coverage during programs and events.

This position is part of a campus continuity team and may be required to report to campus to ensure continuity of operations during inclement weather or other reduced campus operations.

Performs other duties as assigned by the Scheduling and Events department.

Required Education & Experience:

Three (3) years of relevant experience working in programming and/or event support. An equivalent combination of education and experience may be considered.

Required Skills & Abilities:

Excellent verbal and written communication skills are essential. Excellent customer service skills. Ability to work with a diverse population of students who have wide-ranging academic needs and interests. Demonstrated problem-solving skills. Strong organizational skills and attention to detail. Proficient in Microsoft Office (MS Word, Excel, PowerPoint, MS Teams, etc.). Ability to learn new and emerging technologies. Must be task, detail, schedule, and priority oriented. Ability to work under pressure in a highly active and diverse work environment. Required to work some nights and/or weekends, as necessary.
