Description of Job

In accordance with facility needs, this position will report to the office on a regular basis and candidates will not have the ability to work from home. This position will typically work Monday through Friday during regular office hours, but hours may vary based on the needs of the facility.

Job Description:

This position completes accounts payable (AP; e.g., accounts payable activities, contract origination, cost monitoring, and journal entry preparation) work for this 180-bed nursing home.

Additionally, as an Account I you can expect to:

  • Prepare receiving reports by assuring payment has been approved by appropriate manager

  • Complete expenditure tracking sheet after scan approved receiving reports to CDHS vouchering

  • Assure vendor is set up in CORE, request W-9 for new vendors.

  • Monitor AP email account for inquires and issues

  • Prepare monthly accrual spreadsheet and submit to Division

  • Contact vendor for issues, outstanding invoices and concerns. For example, payment interception

  • Communicate with department manager for any issue related to invoices.

  • Warrant information obtained if necessary or cancelling of warrants as needed

  • Communicate with business manager if dollars amount need to be increased or PO needs to be set up according to the tracking sheet.

  • Proactively contact vendors for issues/outstanding invoices/concerned

  • Receiving warrant from vouchering and mail to vendors

  • Cash Sweeps from Operation Account and Treasury Account every month and manage/Reconcile Petty Cash Account

  • Resolve any issue related to Pharmacy Part D including enrollment.

  • Reconcile the meal ticket each day including refilling the meal tickets.

  • Cash counting for the end of fiscal year.

  • Audits account payables and prepares and posts any necessary journal entries to the CORE accounting system

  • Determines the appropriate documents to procure goods and services, prepares RQS and eClearance

  • Works with Business Manager to determine future needs in order to ensure compliance and completion of all agreements.

  • Monitors costs to make recommendations to Business Manager for actions required internally by Department Managers to ensure the facility does not exceed budget.

  • Prepares P-card Allocations and other Accounting Journal Entries to allocate costs as necessary

  • Interdepartmental back-up resource and Other Duties as Assigned

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

Minimum Qualifications:

Experience Only:

  • Four (4) years of relevant experience in an occupation related to the work assigned to this position

OR

Education and Experience:

  • A combination of related education (coursework requires 27 semester hours completed in accounting or auditing) and/or relevant experience in an occupation related to the work assigned equal to four (4) years

  • Current, valid licensure as a CPA by the Colorado Board of Accountancy will substitute for four (4) years of education

    Preferred Qualifications :

  • Knowledge of AP software such as QuickBooks, NTT, Point Click Care, Google Suites

Conditions of Employment:

CBI name check and fingerprint check, ICON Colorado court database, Medicare fraud database, Reference Checks, Professional License verification (licensure requirements), Drug Screen, PREA (Division of Youth Services), Trails check (direct contact with children), CAPS (direct contact with adults – Mental Health Institutes, Regional Centers, Veterans Community Living Centers)

  • Must be willing to test for Tuberculosis (TB) test.

  • Former State employees who were disciplinarily terminated or resigned in lieu of termination must disclose the information on the application and provide an explanation why the prior termination or resignation should not disqualify the applicant from the current position. Absent extraordinary circumstances, prior disciplinary termination or resignation in lieu of termination will disqualify the applicant from future State employment with CDHS.
