Role Description

The administrative coordinator of Bogota representative office oversees the office administrative management including but not limited to the following activities: i. monthly control and office expenses payment; ii. elaboration and submission of internal and external reports (in office inspections, office expenses report, annual SFC report, among others); iii. internal on-boarding process for the new staff (email creation, system permissions, building access), iv. Office annual and semiannual budget elaboration for the chief representative and MD approval; v. management of office executives’ expenses through CONCUR system; vi. Supervise the office OSHA system application and update; vii. Main point of contact for office internal or external requirements and when possible, support the ongoing business with different ancillary activities such time deposits.

Role Objectives

  • Office Expenses and payment control.

  • Expenses report to CSG controllers group and local outsourcing for accounting purposes

  • Renewal of Mercantile registration

  • Jointly with the local legal advisor elaborate the annual report for the Colombia Finance Superintendency

  • Elaboration of:

  • Monthly In office inspection and Office inspection approval

  • Annual and semiannual office budget

  • Annual and Semiannual controllers reports

  • Annual Duty of Information Certificate and submission for SMBC / SMBC CM and SMBC Nikko

  • Office Drill report

  • Local accounts management (expense and payroll)

  • Funding request and funds exchange rate process.

  • Payroll funds exchange rate and outsourcing wire process

  • Local executives CONCUR expenses administration.

  • Annual storage of payment back-ups according to bank’s guidelines.

  • Front desk management

  • Main point of contact for internal and external requirements (BIA, BCP, Audit)

  • Implementation and update of the office OSHA system

  • New staff local onboarding process

  • Supporting time deposit business. It might include:

  • Meeting arrangements with the prospective clients.

  • Follow-up on clients’ request.

  • TD Rate request with treasury team

Qualifications and Skills

  • Microsoft Excel, Power Point.

  • Bilingual - Spanish & English

  • Financial Budget Analysis
