We are seeking a highly motivated, highly organized, detail oriented individual who is a self-starter and able to multitask. Previous healthcare admin experience required. EPIC skills a plus.

Principle duties and Responsibilities:

  • Provides administrative support for Director and unit operations. Monitors and maintains unit files and records. Prepares, verifies and monitors departmental payroll. Schedules and attends departmental committee and council meetings, preparing and maintaining meeting records. Collects information and prepares reports as required.

  • Selects, trains, supervises and evaluates unit's non clinical support staff. Develops and implements work schedules and delegates assignments. Conducts annual performance appraisals, monitors and evaluates employee job performance, provides guidance and feedback and initiates disciplinary and other personnel actions.

  • Oversees safety and maintenance of unit's physical environment. Arranges and oversees quarterly inspection by Hospital Engineering, Safety and Environmental services and follows up on recommendations. Monitors condition of physical environment and recommends, arranges and oversees provision of needed services.

  • Develops and monitors unit's supply, expense and capital budgets in collaboration with Director. Identifies and analyzes trends and patterns and prepares cost projections. Develops proposals to improve cost effectiveness in utilization of supplies, equipment and personnel. Researches and recommends purchase of capital equipment. Monitors budgets and payroll and resolves variances, prepares reports and maintains related records and documentation.

  • Evaluates Program’s space needs. Oversees clinician schedule(s) to ensure appropriate room utilization and resource allocation. Monitors and coordinates any facility issues which affect operations. Recommends efficiency improvements to the Practice Administrator.

  • Purchases daily medical and office supply needs through established Hospital protocols to ensure efficient patient care. Monitors supply inventory/budgeting and identifies and communicates trends and patterns to support cost containment and ensures appropriate use of supplies.

  • Ensures patient satisfaction by providing positive and effective customer service. Monitors and assesses management and operations for patient satisfaction. Recommends and implements improvements to service.

  • Provides non-clinical orientation programs for unit staff. Ensures all Program personnel are trained in Hospital policies and procedures, as well as in the Hospital's information systems, including follow up training and consultations. Ensures compliance with third-party regulations and requirements and billing as they relate to proper documentation, coding and charge entry processes for program clinical services.

  • Participates in unit leadership group and assists in development and implementation of unit based programs. Communicates and works with management and staff of other hospital departments in coordinating needed purchasing, maintenance and repair services.

To qualify, you must have:

  • Bachelor's degree and 3 years of experience. Additional years of experience may substitute for a degree.

  • Analytical skills to collect information from diverse sources, apply professional principles in performing various analyses, and summarize the information and data in order to solve problems OR design relatively complex systems and programs that cross department/divisional lines.

  • Communication skills in order to effectively deal with conflicting views or issues and mediate fair solutions, or well developed writing skills.
