General Statement

Culinary Services Division (http://www.montana.edu/culinaryservices/) ( CSD ), a division of Auxiliary Services, provides meals and specialty beverages for over 18,000 customers daily and is an integral part of campus life and the overall college experience. CSD proudly provides Montana State University students with not only a repertoire of various cuisines, cooking styles, and flavors, but a comfortable atmosphere to meet friends, study, and simply relax. The division is comprised of 2 residential dining halls, a commissary kitchen, several retail operations including 4 coffee shops, Chick-fil-A, the Union Market and Bobcat Grill, Brick Breeden Fieldhouse and Bobcat Stadium Concessions, Fork in the Road food truck, MSU Catering, Indulge In-House Bakery, and the Farm to Campus Program.

Duties and Responsibilities

Reporting to the Culinary Software Systems Manager, the Software Systems Assistant actively works to maintain a database of 5500+ product items, 6300+ recipes, on average 20 menus, and inventory of $10 million. Their focus working within the database is to ensure accurate and timely input and updates to information for all facets of the division (product, inventory, recipes, menus) with an end goal of meeting compliance with federal regulations for the health and safety of consumers. Primary duties include:

  • Performs a variety of work within the front-end of the food service management software database (Jamix) to support general use by end users, to ensure compliance with food related federal regulations, and to assist with inventory maintenance:

  • Daily data entry, reporting/analyzing, and maintenance to ensure accuracy of information for end users and customers.

  • General administrative work in support of the system (updates menus and recipes, assists with maintenance of inventory.)

  • Identifies, troubleshoots, and solves data integrity issues and alerts management as needed.

  • In conjunction with the Software Systems Manager, collaborates with the Dietitian’s team to identify and verify product changes.

  • Works with the team to update menus and recipes.

  • Assists with data entry and maintenance of inventory; coordinating with various constituents to input bin locations and signage updates; runs and analyzes reports for end users.

  • Updates costs on a regular basis.

  • Assist with the development and implementation of a systems training program for new and existing users. Provides trainings in one-on-one or group settings.

  • Assists with implementation of software changes and updates.

  • Other general database housekeeping as needed.

  • Assists the monthly inventory management process including running reports, collecting, and inputting data. Leads the effort in the absence of the Software Systems Manager.

  • Facilitates monthly inventory management meetings as required.

  • Conducts inventory process training and any followups needed with an eye towards accuracy, consistency, and process management.

  • Performs a variety of administrative tasks related to the food service management software (maintains inventory/product guides, maintains recipe guides and back-up documentation, updates costs as needed.)

  • In conjunction with the Software Systems Manager, develops and implements processes to facilitate and enhance data integrity within the food service management software.

  • Serves as the back-up for the Software Systems Manager.

  • Performs a variety of administrative tasks in support of the departments during various times of the year.

  • And actively participates as part of the team while performing other duties in support of the enterprise’s mission.

    Required Qualifications – Experience, Education, Knowledge & Skills

  • Administrative experience in a busy office setting or an equivalent combination of relevant education and experience.

  • Proficient experience utilizing a variety of software programs with an emphasis on database work.

  • Customer service experience dealing with a variety of people in an effective, diplomatic, and friendly manner.

  • Experience working in the food industry.

  • Experience using and/or maintaining database systems.
