Responsibilities NONAPPROPRIATED FUND POSITION DESCRIPTION JOB TITLE: Automotive Recovery Lot Assistant BUSINESS TITLE: Automotive Recovery Lot Administrative Assistant FLSA STATUS: Non-exempt JOB SERIES: 1101 PAY LEVEL: NF-02 INTRODUCTION: The position is located within Foster Auto Recovery Center (ARC), Automotive Services Program, Business Operations Branch, Marine Corps Community Services (MCCS), Camp S.D. Butler, Okinawa, Japan. The primary purpose of the position is to provide administrative assistance and customer service in support of the ARC operations and the services offered: used parts sales, vehicle disposal/deregistration, and rental storage. DUTIES AND RESPONSIBLITIES: Explains the deregistration procedures and accepts necessary documents from patrons. Checks and collects disposal fees from patrons. Files and maintains documents and receipts for all vehicles and motorcycles that are identified for disposal. Responsible for maintaining and updating inventory database and accurately reflecting necessary information of all vehicles and motorcycles in the inventory system. Keeps historical records on vehicles or bicycles sold to authorized customers and/or sold as scrap on the local recycle center. Performs customer service functions such as providing information and services to patrons requesting a certain automotive part. Makes sure that only serviceable parts are sold from accounted vehicles or bicycles for resale to authorized patrons. Explains the rental storage procedures to the patrons. Collects rental storage fees. Enters and maintains the customers' information in the database. Receives telephone calls, visitors, outside contacts, and directs them to appropriate contacts as necessary. Receives and delivers message to staff members. Performs support functions for the ARC such as maintaining files and records, gathering data and creates reports, conducts inventory, maintains stock of office supplies, etc. Operates a cash register. Verifies and secures daily cash sales and safeguards funds. Counts and verifies cash at time of issue and turn-in. Maintains order in ARC admin office and enforces applicable environmental, fire, safety and good housekeeping rules and regulations. Assists in instructing employees on the techniques of specific tasks. Performs clean up duties as required. Performs other related duties as assigned, such as cash register (Point-of-Sales) duties, clerical work to include updating of computer data bases, filing of office, environmental, Blanket Purchase Agreement and all other documents unique to the facility. When required, operates retail sales store, answer phone calls, place parts orders and vehicle repair requests to vendors, interact with customers and provide information to meet customer needs. Cleans facility, to include, offices, shop bays/stalls, restrooms, closets, common areas and outside areas within the compound. May act as a duty manager during the manager's absence and assists on all inspections, audits, reviews and assessments conducted at the facility. Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Acknowledges customers, smiles and makes eye contact. Asks questions to determine, verify and solve problems. Checks for satisfaction on the quality of goods and services. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Uses required safety equipment, and observes safe work procedures. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Performs other related duties as assigned. Requirements Conditions of Employment See Duties and Qualifications EVALUATIONS: Qualifications BASIC REQUIREMENTS: 1. Must be at least 18 years old AND have graduated from high school or been awarded a certificate equivalent to graduating from high school. 2. A minimum of one year experience in clerical support work, which demonstrates ability to perform the work of the position is required. 3. Must complete Cash Handling Training Course before handling fund and Refresher Course once per year. 4. Must be able to accommodate a flexible work schedule to include weekend, holidays and night time. QUALIFICATION REQUIREMENTS: 1. Broad knowledge of automotive equipment, tools, and techniques used for service and repair. 2. Ability to learn organization's functions and procedures sufficient to receive visitors or telephone calls, distribute mail, and maintain files, be well organized and detail oriented, etc. 3. Working knowledge and implementation of word processing, database, spreadsheet, and presentation from Microsoft Office programs such as Word, Excel, Access, PowerPoint, etc. 4. Possess excellent customer service, interpersonal skills, tact, and problem-solving abilities, a team player, actively looking for ways to help people. 5. Knowledge of basic mathematics and cash handling techniques. 6. Have a strong command of the English language to include written and oral skills. This activity is a Drug-free workplace.
