Job Description

Job Purpose: Be apart of a successful sales team in the heart of the Magnificent Mile! Job responsibilities include working directly with customers/planners and discussing guestrooms, meals, audio visual and meeting and room arrangements and to communicate this information through respective hotel department heads via a conference/meeting resume and BEOs. This position offers an incentivized earning structure in addition to the base salary. Omni Chicago offers flexible work schedules including work from home based on performance and goals.

Responsibilities

Essential Job Functions:

  • Coordinate all aspects of conferences as assigned by the Director of Sales and Marketing to include but not limited to: food and beverage requirements, timing of events, audio-visual requirements, special attention to guests, room type allocation, rooming list, amenities, function room set up, group transportation, type of check in, check out to include satellite check in, special meal requests, arrival/departure manifests, bag pulls, luggage storage, complimentary rooms, billing instructions, authorized signatures, room deliveries, telephone and internet requirements, box storage and delivery, power requirements, group hospitality/office/registration desk requirements, business center requirements, key requirements, expected food and beverage outlet usage, entertainment, leisure activities, décor (to include floral) requirements. Prospect, sell and service catering business as well a specified group business.

  • Prepare resumes for groups ten days prior to group arrival and review all details in weekly Staff Meeting.

  • Adhere to the Sales, Catering and Conference Services Department’s standard operating procedures.

  • Ensure all site inspections and client visits to the hotel are successful by planning carefully and communicating accurate details in advance to all departments.

  • Proactively achieve consistently high Medallia scores through establishing a good rapport with the client, preparation work having been done accurately and being visible during the conference to ensure the client’s expectations have been met.

  • Generate high revenue yielding business for all contracted rooms, function space, and catered events.

  • Responsible for the timely collection of all advance deposits as contracted.

  • Serve as the onsite contact for clients during their events and meetings.

  • Conduct pre- and post-conference meetings when it is agreeable with the client.

  • Ensure all current and future client accounts are serviced in accordance with hotel standards.

  • Communicate with banquet managers for all related banquet functions and communicate client requests to relevant departments.

  • Ensure banquet event orders are accurate and provide all relevant information to departments concerned ten days prior to event start time.

  • Adhere to selling policies as set forth by the Director of Sales and Marketing.

  • Remain available to hotel managers while on property.

  • Be aware of departmental revenue and up sell at every possible opportunity.

  • Participate in all regular and operational meetings as required.

  • During conference, will ensure all meeting arrangements discussed meet specifications.

  • After the conclusion of meeting, reviews final bill and comments with meeting planner.

  • Responsible for processing group commissions and rebates at the conclusion of the event.

  • Assist in and support in food and beverage operations as necessary.

  • Handle leads and proactively sell for the catering and group segments as assigned.

  • Other duties as assigned by Director of Sales and Marketing.

Qualifications

Qualifications:

Flexible work hours to include weekends, holidays and evenings in order to meet the demands of a 24 hour operation.

Excellent communication skills in all aspects: verbal, written and non-verbal

Minimum 3 years experience in sales and conference services, in an upscale hotel or resort property.

Appropriate, professional appearance and presentation

Strong computer knowledge, with technical ability and/or aptitude to fully use Microsoft Word, Delphi, Excel, Outlook, Opera and other management systems

Physical Requirements:

  • Move, bend, lift, carry, push, pull, and place objects weighing up to 40 pounds without assistance. Stand, walk or sit for an extended period or for an entire work shift. Requires repetitive motion, including utilizing telephone/computer for an extended period or for an entire shift.

    Working Environment:

  • Interior and exterior of Sales Office

  • Occasional exterior of hotel with exposure to weather conditions.

    Tools & Equipment:

    Desktop computer (Opera, Delphi.fdc, Salesforce, Meeting Broker, Oracle, Birchstreet, Kronos and Microsoft Office), printer, telephone, copier and scanner.
