This position allows for a hybrid work schedule with a mix of work spent in office and working remote from home.

Due to our continued growth, Sargent & Lundy currently has a new opportunity for an Administrative Assistant role in our Chicago, IL office. The Administrative Specialist performs a variety of administrative and documentation functions such as scheduling appointments/meetings, data entry, document management, generating reports, filing, and handling multiple projects. The incumbent works within established guidelines and utilizes experience and judgment to plan and accomplish tasks. Most tasks are performed under general supervision
Responsibilities:
Adherence to confidentiality is a vital responsibility of this role.
Performs routine and non-routine documentation and administrative tasks.
Functions as an assistant, receptionist, or other support role as needed.
Reviews a high volume of detailed data entry submittals in HRIS for accuracy; including but not limited to, new hire/rehire data, and change of employment status.
Prepares and completes new hire and rehire employee information data submissions for HRIS entry and onboarding readiness.
Reviews and follows up with incoming new hires/rehires to ensure the completion of required onboarding paperwork.
Communicates and interacts frequently with Hiring Managers to obtain necessary information for onboarding readiness.
Enters, compiles, and generates reports.
Creates, organizes, and maintains data, and/or files.
Provides administrative support for editing and formatting correspondence, memos, task orders, etc.
Reads, writes, and speaks English fluently.
Reads and comprehends content related to the duties of the position.
Communicates information effectively and responds timely to requests.
Manages changing assignments and priorities to ensure deadlines are met while maintaining a high-quality product.
Clerical support including mailing, scanning, faxing, filing, and copying.
Performs other duties as assigned.
Qualifications

Essential skills and experience:
This position requires a high school diploma (or equivalent) and two or more years of administrative or relevant experience.
Exceptional attention to detail and proofreading skills.
Excellent communication skills (including writing and editing skills), keyboarding skills (50+ wpm), and intermediate to advanced proficiency in Microsoft Office: Word, Excel, Outlook, and PowerPoint.
Candidate needs to be flexible, a team player, and a self-starter.
Applies common sense understanding to carry out instructions given in written or verbal form.
Performs the essential duties of the job often requiring sitting, standing, and walking.
Stoops, kneels, crouches, and occasionally lifts up to ten pounds.
Operates office equipment on a regular basis such as a computer with mouse and monitor, printer, copier, telephone, fax machine, etc.
Valued, but not required skills and experience:
Some college level education in English, writing, business administration, or another related field.
Experience working in a production environment, meeting established production and accuracy goals, with the ability to maintain focus on the quality of details while performing repetitive functions.
Experience working in human resources, engineering, or power industry field.
