General Summary

This position is primarily responsible for all aspects of site production to include work order dispatch, data entry, reporting, analysis and record keepings in accordance with The Joint Commission (TJC) and Statement of Work (SOW) requirements. Also, this position provides administrative assistance and support to the department.

Essential Duties and Responsibilities

  • Dispatch work orders (WO) request to technicians in accordance with WO priority. Completes timely follow up for Emergency/Urgent calls. Updates governments Computerized Maintenance Management System (CMMS) database.

  • Receives written and oral work order requests from various departments and divisions; reviews requests against existing work order databases and provides timely updates.

  • Updates work order records for work completed and to be rescheduled, reviews completed work orders, checking to ensure all needed documents are included in the work order packet.

  • Enters data on completed WO’s, PM, or other modules with correct statuses.

  • Performs quality control of data supplied by site staff for clear and timely updates in CMMS.

  • Identify discrepancies found on workorders/PM’s, informs Manager/technicians, and/or create work order for corrective maintenance.

  • Responds to telephone inquiries from customers concerning work order status; requests information and/or services from outside agencies and contractors.

  • Prepares documentation and routes requests to the proper supervisory personnel.

  • Generates and distributes daily, monthly, and year-to-date work order tracking reports, status, and backlog reports.

  • Performs data analysis to identify deficiencies and delays impacting product delivery in accordance with SOW.

  • Update and maintain records

  • Assists Project Manager(s) with administrative support

  • Perform data entry for other support software as needed

  • Provide backup and administrative support for the department as needed.

  • Perform other duties as assigned

Knowledge, Experience and Skill Requirements

  • Two years prior office administrative experience preferred

  • Proficient in use of Microsoft Office Suite, including Word, Excel, and Outlook

  • Experience with various CMMS software and technical reports

  • Strong organizational skills

  • Experience using telephones, fax machines, copy machines, scanners, and printers

Licenses and Certification Required:

  • High School Diploma or Higher Education

  • Valid Driver’s License

  • Must be able to pass background check and obtain NALAC Security Clearance.

Work Environment

Employee is regularly required to sit; use hands to handle or feel and communicate effectively. Frequently required to reach with hands and arms and occasionally is required to stand; walk and stoop, kneel, crouch, or crawl. Employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
