AAA Mid Atlantic Fleet Care Coordinator - Administrative & Billing Support in Cincinnati, United States

AAA Club Alliance is actively seeking individuals with strong administrative skills and prior invoicing/billing support experience to join our Fleet Care Team as a full-time Coordinator.

The AAA Fleet Care Team (https://cluballiance.aaa.com/automotive/fleet-care?zip=19801&stateprov=de&city=wilmington&devicecd=PC) offers vehicle repair and maintenance services to a large variety of Commercial, National and Local Fleet Accounts including Donlen, Enterprise, LeasePlan, Merchants Fleet, Mike Albert Fleet Solutions, and US Bank/Voyager.

As a Coordinator on the Fleet Care Team, you will maintain account and invoice data in our systems, apply credits to accounts, track and report on past-due statuses, and reconcile invoice issues for our client accounts. You will also be responsible for producing routine reports and statements on aging and account statuses, so prior experience utilizing Microsoft Excel for reporting will be key.

This position is onsite at the AAA Offices in Downtown Cincinnati, OH.

Primary Responsibilities of a Fleet Care Coordinator:

  • Inputs National account information into the Bridgestone Website. Ensures all account information is accurate and that documentation is filed appropriately. Enters address changes and sets up new accounts for new fleet customers.

  • Receives invoices from the Car Care stores and inputs appropriate data in a form and submits invoice to Bridgestone.

  • Posts electronic payments received to Bridgestone, then removes the invoice from the system.

  • Prints out credits from Website and applies to proper invoice. Applies Bridgestone credits to National Account invoices.

  • Researches Bridgestone duplicates and charge backs to ensure they are correct and reflected on appropriate invoice.

  • Runs aging reports on national accounts and local charge accounts to see what invoices are outstanding. Sends aging reports to the stores, along with invoices, for help in collection.

  • Runs statements and sends out invoices to customers on a monthly basis for local house accounts.

  • Keeps track of returned checks and address issues/updates with the store.

  • Researches and corrects problem invoices.

  • Keeps track of past due customers and makes first call to attempt to collect payments.

  • Bank deposit- Applies checks received from outside vendors to the proper invoice; ensures checks are deposited to bank account via Brinks.

  • Applies credits from Credit First (Bridgestone credit card); ensures credit is applied to the proper invoice.

  • Orders office supplies and business cards for the Fleet Care and Car Care teams as needed.

  • Obtains purchase orders for various invoices as needed.

  • Inputs invoices through Workday in support of Accounting team.

  • Provides copies of invoices for vendors, if requested.

  • Answers phone calls regarding accounts such as invoice and account inquiries.

  • Monitors credit limits.

  • Posts tax-exempt forms to Share drive and files hard copies.

  • Other duties as assigned.

What You Will Need to Succeed:

  • High school diploma

  • 1-2 years of related work experience in an office environment

  • Ability to compose correspondence, emails, memos, and reports.

  • Ability to handle multiple tasks simultaneously

  • Comfortable with numbers and calculations

  • Proficiency with Microsoft Office software (Excel, Word, Power Point)

  • Effective organization and communication (oral and written) skills

  • Excellent customer service skills

  • Ability to complete Pre-Employment Screenings if offered the position (background check & drug screen)

  • Authorized to Work in the USA
