Position:

The Idaho Department of Environmental Quality (DEQ) is hiring an Administrative Assistant 1 for the Coeur d’Alene Regional Office.

Salary Range: $16.70 - $18.78

Responsibilities:

· Office Management:

  • Act as the main receptionist, answer phones, and greet and direct visitors.

  • Route all voicemails left after hours to the correct staff member.

  • Answer questions from the public and send out information.

  • Maintain correct names for mail slots. Open, date, stamp, and distribute mail and packages to the office staff. Email faxes to the recipient.

  • Keep printers and copiers supplied with paper and toner. Order toner and arrange service as needed.

  • Fax, photocopy, and print as needed.

  • Maintain office equipment such as binders, laminating machines, and the postage machine.

  • Keep all staff workrooms supplied and organized.

  • Keep inventory of office supplies for ordering.

  • Unlock the doors at the start of the day and ensure all doors are secure at the end of the day.

· Program Support:

  • Support the Remediation, Air Quality, and Drinking Water Programs.

  • Type and edit correspondence and technical reports.

  • Create and format tables, use desktop publishing and/or related software, create and maintain databases.

  • Scan, enter, and file documents into document management databases as needed.

  • Fax, photocopy, and print documents as needed.

  • Set up meeting locations, agendas, and public meeting notices. Send correspondence to attendees and take and transcribe minutes.

  • Coordinate with DEQ State Office on record retention, forms, and document management databases.

    Minimum Qualifications:

    Good knowledge of:

  • Office support functions including word processing, filing, and composing a variety of business documents.

    Typically gained by at least one year of full-time work experience performing a wide variety of administrative support functions; OR formal training consisting of successful completion of an 18–24-month office administration course of study beyond high school. This coursework should have resulted in an Associate (A.A.) degree or equivalent to qualify. Work experience should consist of performing a wide variety of administrative support functions as the predominant responsibility of the job.

  • Reception.

    Typically gained by at least six months of full-time work experience with responsibility for answering business phones, greeting visitors, and screening callers for further access to staff.

  • Gathering and compiling data.

    Typically gained by at least one year of full-time work experience gathering information from a variety of sources to collect and compile requested information, and good knowledge of services, operations, or programs.

  • Balancing and coordinating a workload for multiple projects.

    Typically gained by at least one year of full-time office work experience which requires balancing, coordinating, and setting priorities for multiple projects with varying deadlines, or for multiple supervisors.

    Physical Requirements:

• Ability to sit and work on a computer for 2-4 hours at a time.

• Ability to bend and reach for filing purposes.

• Some periods of heavy reading and typing are required.

• Ability to lift 30 pounds when working with file boxes.

Other Requirements:

· Some travel may be required.
