Union County College is a public comprehensive community college providing quality, affordable, accessible educational programs that serve the greater Union County region. It is the oldest of New Jerseys 19 Associate Degree Colleges, serving both career-minded and transfer-oriented students since 1933. The College enrolls almost 30,000 credit, non-credit and continuing education students and is accredited by the Middle States Commission on Higher Education. Many programs lead to the Associate in Arts, Science and Applied Science degrees.

General Description:

The IIE Secretary assists the Director, faculty, and staff in managing the daily administrative operations of the Institute of Intensive English. Additional responsibilities include maintenance of program files and statistics. The incumbent is expected to develop a comprehensive knowledge of the policies and procedures governing the operation of the Institute of Intensive English and to disseminate information to current and prospective students.

Characteristics, Duties and Responsibilities:

• Performs all administrative support duties for the IIE Director, faculty, and staff.

• Provides secretarial/clerical support services.

o Types letters, reports, memoranda, lists, requisitions, and other miscellaneous correspondence. o Establishes and maintains up-to-date filing and record keeping systems. o Prepares purchasing requisitions. o Enters placement into the student information system. o Coordinates and maintains schedule and calendar of events for the IIE Director, faculty, and staff. o Distributes completed student evaluation forms to faculty and adjuncts.

• Provides program information to students and general public in response to telephone, electronic, and in-person inquiries.

• Coordinates logistics for meetings, workshops, and other events.

• Maintains stock of office supplies, reordering as required.

• Serves as liaison between Institute and various departments in the preparation of reports and maintenance of records.

o Prepare departmental enrollment and other reports. o Maintains departmental attendance records. o Compiles surveys and statistics as directed. o Prepare certificates for students who completed the program.

• Assists with student placement and testing as directed.

• Coordinates the distribution of IIE program information to all campuses.

• Recruits, trains, and supervises student workers.

• Performs all duties assigned by supervisor.

Education Requirements:

• Associate Degree required.

Experience:

• Minimum of three (3) years of office administration experience.

• Minimum of three (3) years of office administration experience.

Physical Demands and Work Environment:

• This position’s duties are normally performed in a typical interior/residence work environment, based on the activity scheduled.

• Some physical effort required; however, the employee must occasionally lift and/or move up to 25 pounds.

• No or very limited exposure to physical risk.

• Some travel required.
