The Senior Project Management Professional will oversee assigned projects and contribute to the growth and development of the OIT PMO within the Planning, Analysis, & Change (PAC) department. The OIT PMO adheres to PMI definitions and practices concerning project management. This role involves managing Scope, Resources, Time, Cost, Risk, Quality, and Communications throughout the entire project lifecycle. Higher education projects often necessitate flexibility regarding changes in scope, resources, or timing. The Senior Project Management Professional position requires an individual with exceptional organizational, communication, interpersonal, negotiation, and problem-solving skills. Practical knowledge of various project management methodologies and an understanding of higher education culture are essential. The successful candidate will demonstrate a willingness to adapt, maintain a positive attitude, possess a strong interest in project management, and be committed to helping CU Denver achieve its strategic goals.

What you will do:

Oversee the comprehensive management of concurrent projects crucial to OIT's business operations and the campus's overarching mission. Develop detailed project schedules, timelines, and resource requirements. Coordinate the efforts of project team members to ensure adherence to schedules and achievement of defined objectives. Generate regular status reports with project milestone updates, identification of risks, issues, and concerns, along with recommendations for keeping the project on schedule Proactively anticipate potential issues and create contingency plans as needed. Facilitate effective communication among project sponsors, stakeholders, team members, constituents, service and support personnel, and management by executing a communication plan in collaboration with University Communications. Continuously meet the following job expectations:

Project Delivery

  • Establish or adjust initial project schedules using the most accurate information available (team task estimates, prioritization, scope, resource availability, etc.) and diligently manage these schedules throughout the project's duration.

  • In case of unforeseen events affecting existing schedules, promptly establish realistic revised dates.

  • Consistently update project projected release/deployment/implementation dates based on progress and the best available resource and task estimates.

  • Ensure that project requirements are clearly defined and documented, and that any changes undergo a defined change management process before implementation.

  • Engage service, support, and operations teams in projects at the earliest opportunity to facilitate smooth project transitions.

Project Lifecycle

  • Ensure that each managed project includes essential documents such as a Charter, Roles and Responsibilities Matrix, Project Schedule, and any additional documentation specified in the OIT Standard Project Roadmap.

Project Reporting

  • Provide OIT and project stakeholders with timely and accurate project status updates.

  • Weekly updates of project status in MS Project Server Online.

  • Attendance at the weekly OIT PMO Project Status Meetings.

  • Ensure detailed Weekly Status Reports support any project with a red status, explaining actions to realign the project.

  • Other reports and documents as required by individual project specifications.

Issue and Risk Management

  • Actively identify, track, and manage project risks.

  • Ensure that project issues and roadblocks are clearly identified, managed, and promptly escalated to OIT Management.

  • Log all Issues and Risks in MS Project Server Online and include them in the weekly status report.

Business Analysis and Organizational Change Management

  • Work with assigned Business Analysts and Organizational Change Manager to determine the level of effort required for each discipline on the project and develop a practical schedule to reflect the tasks and timeline.

Project Management Software

  • Utilize MS Project for creating and overseeing project schedules and resource assignments.

  • Upload and store projects in MS Project Server Online.

  • Establish and manage project sites in Project Server Online.

  • When appropriate, utilize enterprise resource pool for project assignments.

  • Provide weekly status reports within MS Project Server Online.

  • Upload and archive project documentation in the project server as part of the project closure process.

  • Utilize MS Teams for project communication and collaboration purposes.

  • Utilize MS Planner for task management.

  • Incorporate additional approved software applications as needed for the project.

Planning and Analysis PMO Departmental Development

  • Collaborate closely with the PMO manager to enhance and refine PMO processes and procedures.

  • Attend weekly team meetings as required.

  • Provide guidance and mentorship to both new and existing team members in project management practices.

  • Engage in internal training sessions as part of professional development efforts.

Qualifications you already possess (Minimum Qualifications)

  • Bachelor's degree from an accredited institution in a relevant field.

  • 2 years of project management experience that includes a combination of the following:

  • Supporting a formal, documented project management methodology.

  • Managing projects through their entire life cycle, including successful completion and closeout.

  • Establishing project tasks/dependencies/deadlines, resource management, identifying risks, gathering requirements, holding review meetings, and providing status updates.

  • Managing multiple concurrent projects

  • Professional project management certification (PMP or PMI-ACP).

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Preferred Qualification to possess (Preferred Qualifications)

  • Professional project management certification (CSM or PSM).

  • Experience with Microsoft Project Server or Microsoft Project Server Online

  • Experience with IT projects and processes.

Knowledge, Skills, and Abilities

  • Understanding of project management methodologies and best practices on establishing project charters, schedules, constraints, risks, resources, and stakeholder responsibilities.

  • Meticulous about managing the details of every project and the impact each detail may have on the overall project success.

  • Proficient in managing large-scale project plans with Microsoft Project/ Project Server Online.

  • Able to assist project sponsors with developing project charters assuring a shared understanding of scope, resources, objectives, risks, and measures of success.

  • Able to create and manage clear documentation of project details (scope document, estimate, change orders, revision notices, review phases, and client approvals).

  • Able to monitor and report on the progress of the project to all stakeholders including deliverables, staffing, schedules, budgets, risks, and change requests.

  • Proficient in leading project meetings with prepared agendas and tracking decisions, issues, and action items.

  • Practical knowledge of Microsoft Office tools.

  • Experience using Microsoft SharePoint.

  • Experience using Microsoft Project

  • Strong English written/verbal communication.

  • Strong interpersonal skills, tactfulness, customer-service ethic, and follow-through.

  • Ability to work in a close team effort with ongoing collaboration among team members.

  • Ability to manage multiple projects simultaneously.

  • Must be comfortable participating in the decision process within a project team framework.

  • Must be a confident self-starter who possesses tenacity, curiosity, and a penchant for detail.

  • A passion for continued learning of project management practices.

  • Expert at recognizing and solving problems quickly.

  • Ability to demonstrate flexibility and professionalism in applying the correct project methodology appropriate to assigned projects while maintaining standards required by the PMO.

  • Willingness to share knowledge and experience with team members.

Conditions of Employment

  • This position follows a hybrid work structure where employees can work remotely or from the office, as needed, based on demands of specific tasks. Working from the office is encouraged when working on tasks that require a high degree of collaboration.

  • The salary range (or hiring range) for this position has been established at $ $86,112.47 - $89,100.

  • The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

  • The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

  • This position is not eligible for overtime compensation.
