Purpose of the job

The role requires you to manage the planned & reactive maintenance, remedial works, hard & soft services(including Security), tenants and visitors in accordance with agreed service levels.The role is to act as the main point of contact for the client and to respond or escalate site emergencies or concerns to your line manager/client/tenant. Responsibility for overseeing all technical matters relating to the effective plant and equipment maintenance on site and liaising with your line manager, client or tenant to ensure all maintenance work is carried out in accordance with site policies and procedures and within health and safety legislative requirements.

Key Responsibilities

· Supervise the on-site team, leading by example, through motivation and commitment.

· Ensure that routine maintenance is carried out to all building equipment and systems, to meet and exceed expectations and agreed service level agreement. Reporting of defects and preparation of remedial repair quotations.

· To ensure all relevant maintenance records are kept to a comprehensive and high standard and all reactive work order paperwork is completed, feeding all reports to the Contract Support & Contract Manager.

· Ensure that suitable spares are available to carry out maintenance of the site.

· Attendance to reactive call outs as and when required including Out of hours calls.

· Ensure that Method Statements and Risk Assessments are prepared for all tasks carried out to ensure safe working practices

· To develop a good working relationship with all members of the client, tenant, CBRE colleagues and supply partner representatives.

· Ensure the provision of a safe & ample healthy working environment, and ensure compliance with all company policies and procedures, as well as client/tenant site policies, procedures and working arrangements, as required.

· Ensure a professional image of CBRE is presented to client/tenants, 3rd parties and visitors, and ensure excellence in customer service is delivered and promoted at all times.

· Ensure that skills and knowledge are furthered through a commitment to personal development and life-long-learning.

· Complete daily hazard hunting and load all findings to Harbour. In each instance, attempt safe first fix and if hazard is not resolved, escalate to line manager and client.

· Complete routine inspections and record same to CMMS system.

· Assist in ad hoc requests.

· Hold daily morning catch ups with on-site team.

· Be part of the fire evac team and the first aid team.

· Take ownership and Manage all technical matters relating to plant and equipment maintenance including existing equipment, new works and future upgrade works.

· Identify potential technical improvements for existing plant and equipment maintenance to facilitate improved reliability and /or cost reduction with fully supported documentation

· Liaise with site and client management to ensure proper completed hand over of additional projects.

· Ongoing development and review of site policies and procedures.

· Ensure all matters relating to Health and Safety legislative requirements are fully documented and understood by all site staff and subcontractors involved in the maintenance of plant and equipment.

· Assist in the development of and adherence to method statements, ensuring best working practices are established and maintained.

· Work with sub-contractors involved in plant and equipment maintenance to ensure highest possible standards of maintenance are achieved.

· Liaise with site, client & tenant management during any emergency operations or procedures.

· Assist client/tenant with resolution of technical matters arising from installed equipment or maintenance of this equipment .

· Working with other CBRE contracts to ensure the collaborative development of the business, effective teamworking, and support to colleagues.

· Ensure appropriate control systems to ensure statutory, policy and contractual commitments are met.

· Ensuring a customer focus within all areas of operational activities, and that effective relationships are maintained with key client/tenant contacts.

· Promoting and maintaining the core RISE Values of CBRE.

· Provision of leadership and guidance, advice, coaching and direct support, where required to deliver best practice selection, training, assessment, and recognition/reward.

· Attend meetings as required to facilitate the smooth running of the business.

  • Any other reasonable tasks as dictated by the Management and Directors CBRE GWS.

Key Client Responsibilities

· QHSE - Management of H and S, Fire, Legionella and other building risks, and ensuring legal compliance on same. Manage the fire and evacuation procedure for the building. Manage all service providers, review RAMS and issue permits as appropriate. Understand the insurance policies and manage lift insurance inspections. Monitor and review all key Health and Safety Documentation.

· Policies and Procedures - Building Supervisor to notify Property manager of any changes required to the Tenant Handbook under their remit, however Property Manager has overall responsibility for ensuring the handbook remains compliant. Ensure documented SOP’s are in place for emergency and out of hours repair and other life safety and building critical equipment and services.

· Budgeting and reporting - In conjunction with the Contract Manager & Contract Support -Managing of the budget within control to ensure all required services are delivered on time and within budget.Ensure all variances are reported, and corrective actions are taken as necessary . Ensure PO’s are issued on time, and correct management of invoicing.Ensure reactive and extra works quotations are issued to client as soon as possible.Ensure the client is kept informed of all issues in the building, and reports are made in a reasonable timeframe.

· Front of house and security management - Ensure a first-class concierge/reception/security service is maintained for all tenants, clients and visitors. Oversight of the security function, to include responsibility for the issuance of access cards, overall management of security guards, and maintenance of the access control system

· Facilities management – Ensure all building services where required are on a maintenance schedule, and an accurate and correct PPM plan is in place and maintained. Management and oversight of all vendors, including cleaning, waste management, security, Mechanical and Electrical maintenance (Including Life safety and building critical services). Ensure all contractors and vendors are suitably qualified to carry out works. Ensure highest standard of service from vendors. Ensure all Maintenance records are stored accurately and available for inspection.

· (Note this is for Building responsibilities only, tenants are responsible for some services in their own spaces)

· Tenant Management - Being the first point of contact for all tenant requests and issues. Management of any reactive requests and communicating upcoming maintenance. Management of access control requests. Ensure that tenants are conducting any maintenance required in their own spaces that they are responsible for. Ensuring that there is a smooth and co-operative relationship with all tenants.
