Job Summary: This role is responsible for facilitating crew scheduling (project, service, maintenance, inspections) along with customer service inquiry within the Architectural department, including answering client calls, gathering and recording accurate/complete information necessary for service delivery. Works closely with Project Managers and Service Account Manager to facilitate seamless project & service delivery. Enter service requests into dispatch software program and manage initial allocation through final completion. Acts as a liaison between the clients and our team. Tracks and generates manpower reports, workorders and schedule technicians. Actively manage dispatch console, including rescheduling as needed.

  • Work in conjunction with project managers and service account managers to schedule field labor for, large contract projects, small service projects and recurring maintenance and inspections

  • Monitor and manage the manpower spreadsheet, open workorder spreadsheet and schedule technicians as soon as possible

  • Answer service phone calls and follow up on customer calls in a timely manner

  • Appropriately document and designate phone, verbal, or email work requests

  • Include and confirm the “bill to” and any other billing requirements, such as the purchase order number, not to exceed amounts, possible warranty work, confirmation it is billable work, or related work details, prior to entering into the appropriate dispatch software program

  • Actively manage dispatch console, including rescheduling of technicians

  • Enter service requests into dispatch software program and manage initial allocation through final completion

  • Verify completion of inspection work, review and field inspection forms, prepare pull-through field quotes and work with service account managers for approval

  • Accurately input new maintenance and warranty inspection contracts, assist in renewals and keep contracts current in all aspects of installed items, material and schedule

  • Provide training and support to technicians and service team as necessary to ensure smooth workflow and customer satisfaction

  • Manage customer complaints and refer to management as required

  • Assisting with time sheets and tracking time, accounts receivable collections and billing support

  • Assists with customer surveys as requested

  • Support the Architectural Department’s initiatives and programs designed to enhance the overall good of the company, including standard operating procedures (SOP’s) to ensure they are followed in all work performed

  • Perform other duties as assigned

    Experience/Education Requirements:

  • One year’s experience in a service oriented or complex business office with a focus on scheduling and client management.

  • Strong interpersonal and communication skills

  • Requires a high level of attention to details, organization and multitasking abilities

  • Proficient in Microsoft Office programs, including Outlook, Word and Excel, or other record keeping software.

  • Ability to learn and navigate department/company specific systems, including CenterPoint and WebApps, Samsara and SharePoint.

  • Working knowledge of iPhone and iPad capabilities

  • Previous experience in Maintenance, Service or Construction is preferred, and roofing aptitude and knowledge is a plus

    Work Environment and Hours: This is a full-time position with the Architectural department, based in our Duluth, MN office, with working hours from 7 AM to 4 PM, Monday through Friday.

    This role will be based out of our Duluth MN office. The pay range is $20-30 an hour, depending on job-related knowledge, skills, and experience.
