Sr. Shelter Manager

Remote work is not available for this full-time position. The Shelter operates 24 hours/365. May work some nights, weekends, and holidays.

Hours for this position: Monday through Friday, 11a-7p (12p-8p can be considered)

PURPOSE/SCOPE OF POSITION

Manages Shelter operations in the absence of the Shelter Director within the operating budget. Assists in the development and administration of programs for the Shelter. Protects clients' confidentiality at all times and ensures the safety and security of all Shelter staff and residents. Maintains the Shelter residence and property in good condition at all times. Supports the Shelter Director and provides leadership to Shelter staff and residents, operating in an atmosphere of dignity, respect, and trust.

OVERALL RESPONSIBILITIES

  • Manage all Shelter operations in the absence of the Shelter Director

  • Manage and maintain monthly staff schedule to ensure 24/7/365 supervision of the Shelter

  • Manage donation intake and distribution; complete proper documentation

    SPECIFIC RESPONSIBILITIES

    Leadership

  • Ensure that the Shelter is supervised 24 hours a day, seven days a week; create, adjust, and monitor monthly staff schedule

  • Provide coverage when all other emergency coverage means have been unsuccessful and provide two weeks per month of on-call management; assist night and weekend staff as needed during emergencies

  • Organize and publish client chore lists and ensure completion of all assignments

  • With the Shelter Director, facilitate and coordinate bi-weekly staff meetings with Shelter team members

  • Oversee Sr. Advocate in the facilitation and coordination of weekly house meetings for clients

  • Manage, support, train, and monitor Shelter Advocates (Night and Weekend)

    Operations

  • Order and track inventory of food and other supplies, keeping within the operating budget

  • Plan, conduct, and document monthly fire drills; and follow up on fire safety with residential clients

  • Oversee maintenance/handyman in fleet management, including the timely inspection of all Shelter vehicles

  • Ready the Shelter for the annual New York State Office of Children and Family Services (OCFS) and Department of Social Services (DSS) inspections

    Administration

  • Monitor the daily log activities for appropriate details; provide follow-up and feedback as needed for staff

  • Oversee that all policies and procedures are followed at the Shelter

  • Assist in maintaining a full bed count of residents to ensure adequate funding

  • Process hotline intakes; enter intake information for the hotline into the client database

  • Follow up on clients in the In Consideration folder to ensure all clients are properly screened for shelter admission

  • Enter client information and activities into the client database; ensure record-keeping and statistical data collection

  • Maintain communication with other staff

  • Oversee the organization of the basement (food pantry), Stephanie's closet, and client donations

  • In the absence of the Case Manager, review individual incident reports with clients

    Hot Line Management

  • Answer crisis hotline calls; process proper paperwork for all calls received; enter information into the Apricot database

    Facilities

  • Conduct room checks for repair, maintenance, and cleanliness

    Other

  • Manage special projects as assigned by Shelter Director and lead project teams

  • Participate in bi-weekly team meetings and agency learning and development opportunities

    QUALIFICATIONS

    Bachelor's degree in Social Work or related field and 3+ years of experience in any of the following areas: social work, women's studies, psychology, counseling, or Human Services Administration, or an equivalent combination of education and experience sufficient to perform the duties of the position. One year of leadership experience is required. Earn and maintain Suffolk County Food Handler Certification.

  • Excellent oral and written communication skills with the ability to complete paperwork thoroughly and accurately

  • Well-organized with time management and problem-solving skills

  • Must be fluent in Word, Excel, and Google Docs

    Other requirements:

  • Must have a valid New York State Driver's License (Required)

  • Bilingual / Spanish (Preferred)
