Job Description

MAIN FUNCTION:

Serves as the primary point of contract for Human Resources Department and is responsible for assisting/directing employees, candidates, and visitors with a high level of customer service. Provides administrative support to Human Resources Department. Reports to Human Resources Manager.

DUTIES AND RESPONSIBILITIES:

  1. Assists employees & visitors who are seeking assistance via phone, email, walk-in or other forms of communication. Serves as a resource for basic questions and a liaison to redirect as needed.

  2. Answers questions and assists candidates with questions about the applicant tracking system.

  3. Provides managers and employees guidance on self-service, including instructions on how to find policies and forms on ArNet Intranet site.

  4. Identifies opportunities to provide resources to assist with a variety of learning styles. Develops appropriate job aides using various methods.

  5. Monitors compliance information (e.g. department orientation checklists) and takes appropriate action to ensure compliance with department policies and procedures.

  6. Serves as the coordinator for license and certification verification and monitoring expirations.

  7. Responsible for vetting internal employee job bids and notifying the employee of any missing or required information prior to sending to the recruiter.

  8. Maintains an appropriate supply of new hire paperwork and submits print requests to the print shop as needed. Prepares new hire paperwork packets and door packets and/or coordinates with volunteers to create packets, ensuring the forms are up to date and that the forms are of professional quality. Prepares FMLA, PFL and disability packets.

  9. Responsible for creating and updating employee personnel files as well as files for I-9 documents).

  10. Prepares new hire files and ensures all appropriate documentation is complete prior to filing.

  11. Uses HR records including HR Systems to investigate employee inquiries.

  12. Prepares ID badges for new and transferring employees, the Volunteer Department, Students, etc. Makes replacement badges as needed.

  13. Completes written employment verification requests.

  14. Assists with supporting annual events such as service awards dinner and employee recognition activities.

  15. Assists HR Department staff and management in form processing (e.g., 401k deferral/enrollment).

  16. Receives and distributes office mailing/copier files.

  17. Orders and maintains supplies for HR department.

  18. Maintains discipline log and promptly files disciplines in employee files.

  19. Maintains calendars for HR management team as requested. Assists with scheduling meetings and coordinates meeting space availability.

  20. Assists with department mailings including drafting communication as directed, creating mail merge with employee addresses, printing, and preparing for mailing. Coordinates with Volunteer Services as needed to achieve expected mailing date.

  21. Actively participates in projects as assigned.

  22. Is responsible for attending all annual mandatory educational programs as required by position.

  23. Employee understands and demonstrates the importance of satisfying the needs of the customer/patient by interacting with him/her in a friendly and caring way, being attentive to the customer’s needs, both psychologically and physically, and by taking the initiative to maintain communication with the customer in order to provide a secure and pleasant experience with Arnot Health.

    EDUCATION:

    High school graduate required. Associates degree preferred.

    EXPERIENCE:

    Minimum of one-year similar office experience required. HR experience preferred.

    CARDIOPULMONARY RESUSCITATION (CPR) REQUIREMENTS:

    No CPR required.

    PHYSICAL DEMANDS:

    Routine office jobs. Ability to frequently lift 10 lbs and occasionally lift 25 lbs.

    EXPOSURE CATEGORY:

    Category III. Tasks that involve no exposure to blood, body fluids, or tissues. And Category I tasks are not a condition of employment.
