Job Description

This position provides an exciting opportunity to work in the Dean\'s Office in the College of Health and Human Services. This role is pivotal to the success of the college, supports the Dean\'s Office, and works in partnership with the Dean on new initiatives and projects. This is a forward-facing, customer service-orientated position that represents the Dean and the Dean\'s Office both within and outside of the college. Our college is rapidly expanding, and we are seeking an individual who can work in a fast-paced environment and can pivot to meet the varying needs of the Dean. Including developing processes for knowledge management, overseeing the progress of action items, ensuring databases are updated, and providing collaborative and service-orientated interactions with internal and external constituents. The Executive Assistant, Senior plays a key role in supporting and driving NAU\'s priorities for elevating excellence.

Executive Support and Administration - 50%

  • Manages the Dean\'s calendar, meetings, travel, and correspondence to include some delegated dissemination of information on behalf of the Dean and/or College.
  • Oversees and coordinates the day-to-day activities of the Dean\'s office in collaboration with the Assistant Director of Operations, to include training; scheduling and prioritizing work assignments; and implementation of effective operating policies, procedures, and systems.
  • Prepares presentations, meeting agenda(s), and background materials as indicated by the Dean, for all meetings led by the Dean.
  • Executes appropriate follow-through on meetings and appointments, as necessary, including meeting notes and minutes. Tracks and follows up on action items.
  • Works with the Dean and others in the Dean\'s office to research, summarize, and analyze information and statistics to compile data to prepare special and recurring reports, proposals, and grants.
  • Gathers, investigates, researches, analyzes, and/or studies information affecting intradepartmental, or interdepartmental operations.
  • Serves as the primary point of contact on any matter directed to the office of the Dean of CHHS by University and community constituents; independently researches and prioritizes incoming issues and determines appropriate course of action, referral, and/or response.
  • Ensures that office operations comply with policy provisions and standards; coordinates business affairs, and interprets policies and procedures.
  • Creates and maintains standard operating procedures (SOPs) for all executive assistant job responsibilities.

Dean\'s Office Program Support - 35%

  • Manages special programs for the Dean, some of which may have a College-wide impact. Develops process s, and maintains, and ensures training for knowledge management systems.
  • Project management in support of the Dean.
  • Manages Dean\'s Office recognitions and awards (teacher of the year, distinguished graduate, dean\'s list, scholarship, etc.).

Outreach and Liaising - 10%

  • Assists with plans and execution of college wide events and meetings across remote campuses, as well as college-wide trainings.
  • Maintains the College\'s contact list, mailing lists, and listservs.
  • Liaise with department Chairs and Directors to ensure coordination of college activities and attainment of College goals.

Other - 5%

  • Other duties as assigned.

Minimum Qualifications

  • Requires an undergraduate bachelor\'s degree.
  • 3-5 years of relevant experience.
  • A combination of related education, experience and training may be used as an equivalent to the above educational Minimum Requirements.

Preferred Qualifications

  • Prior experience with NAU systems and processes.
  • 5 or more years of full-time experience directly supporting a dynamic office environment.
  • Advanced knowledge of Outlook calendaring.
