Description of Work Unit

Who We Are

Located in the beautiful town of Fort Collins, Colorado, CSU is a premier land-grant university with world-class programs in education, outreach, and research. Within CSU , the Division of University Advancement is integral to achieving and sustaining the University’s institutional excellence through fundraising and engagement efforts. With one of the leading development teams in the country, the Division most recently reached its $1 billion campaign goal 19 months ahead of schedule.

Office of Gift Planning: The Gift Planning Team serves the entire university providing areas of expertise related to donors who are planning their estates. The team has University wide fundraising responsibilities and assists all colleges and academic units in meeting their private fundraising goals. The team goals are aligned with University fundraising strategic goals. The position will be located in Fort Collins, Colorado and will report to the Managing Director of Development, Gift Planning.

Position Summary

The Development Operations Coordinator is responsible for the day-to-day operations of the unit including general office management, correspondence prep and review, travel detail, expense reimbursements, gift documentation, proposal management and prospect management to assist the team in their efforts.

Additionally, this position assists with web site and advertisement management as well as frequent interaction with all positions in the University Advancement Division. The gifts handled typically range from $25,000 – seven or eight figure gifts. This position will infuse diversity, equity, and inclusion into all aspects of their work in order to contribute to ensuring processes and services are inclusive. This person will also work to ensure an inclusive environment for their team and will continuously strive for inclusive excellence.

This position will also train, direct and manage any student hourly employees hired by the Office of Gift Planning.

Required Job Qualifications

  • Bachelor’s degree from an accredited institution by hire date

  • Minimum of 3 years’ experience, including internship and part time, in an administrative or project/office management role which may include customer-facing roles such as sales, banking, marketing, non-profit management, or development

  • Demonstrates active engagement and support of diverse individuals, opinions and perspectives, and actively engages with and supports the University’s mission, vision and values.

  • Ability to work non-standard hours, including early mornings, evenings, and some weekends

  • Must have a valid driver’s license, the ability to obtain a driver’s license, or access to a licensed driver by the employment start date

Preferred Job Qualifications

  • Strong written and verbal communication skills.

  • Proficient with numbers and calculations

  • Strong organizational skills and experience tracking multiple projects

  • Ability to problem solve and exercise initiative and independent judgement

  • Excellent attention to detail and commitment to meeting project deadlines

  • Experience working with legal documents (e.g., paralegal)

  • Proficient in Zoom and Microsoft Office Suite with an affinity for learning new technology

Duty/Responsibility

  • Manage and monitor the process to book revocable commitments established by Gift Planning team as well as facilitate process to book commitments created outside the Gift Planning team.

  • Review gift proposals on the donor database to ensure they are consistent with the direction submitted by the donors. Work with pertinent fundraiser to update, if needed.

  • Work in partnership with CSU Foundation to track status of revocable commitments for individuals who are deceased.

  • Exemplify the Division’s commitment to inclusive excellence and demonstrates this in operational tasks.

Duty/Responsibility

  • Interacts with donors as needed and disseminating information packets to donors as well as internal constituents.

  • Coordinates Frontier Legacy Society birthday card mailing

  • Work in partnership with central Donor Relations and Stewardship team on stewardship of the Frontier Legacy Society

  • Awareness of upcoming donor visits to ensure Gift Planning team member has required information for visits (e.g., parking pass, collateral, gifts).

  • Create positive relationships and inclusive environments with constituents of all backgrounds.

  • Implement and coordinate marketing plan with third party vendor for website maintenance, newsletters, surveys, eBlasts, print mailings, and donor stories.

  • Manage budget for annual marketing plan

  • Manage supply of marketing materials and collateral, oversee regular updates, and organization (e.g., Creating Your Legacy, student and faculty support buckslips, Sharpe brochures)

  • Examine communications with a lens of diversity and inclusion for the audience.

  • Manage financial transactions for Gift Planning, including maintain knowledge of PCard policies and procedures.

  • Holistic review and management of travel (e.g., proactively seeks receipts for anticipated items (e.g., parking), remove meals/expenses when PCard receipt provided) and well-versed on policies and procedures.

  • Manages daily activities of student hourly coordinator.

  • Ensures coverage for area (with student or Gift Planning staff) for planned absences or otherwise.

  • Organize and manage office storage space.

  • Maintain professional dues and memberships for Gift Planning team.

  • Work in partnership with units in office suite to maintain a clean, organized office space.

  • Fully understands and applies appropriate policies, regulations, and procedures as required by the Division of University Advancement, University, community, state, etc. Exemplifies the Division’s commitment to inclusive excellence.
