Description

We are looking for a diligent and proactive individual to join our team as an Executive Assistant. This role is based in Fresno, California, and is ideal for someone experienced in managing multiple priorities with a high degree of confidentiality and professionalism. This role is pivotal in enhancing patient care through innovative practices within the healthcare industry.

Responsibilities:

• Provide comprehensive administrative support including managing calendars, scheduling meetings, and coordinating travel arrangements.

• Prepare, maintain, and ensure timely delivery of financial documents, reports, and presentations.

• Act as the main point of contact between different departments, external partners, and stakeholders.

• Manage communication, responding to emails and handling correspondence professionally.

• Organize and maintain financial and confidential files.

• Assist in the preparation for board meetings and financial reviews, including assembling necessary documentation.

• Monitor budget expenditures and assist in budget preparation.

• Implement and maintain procedures/administrative systems to improve departmental operations.

• Handle sensitive information with the highest level of integrity and confidentiality.

• Utilize MS Office Suite, particularly Excel, to perform administrative tasks efficiently.

• Prioritize tasks effectively to meet tight deadline

Requirements

• Must have a minimum of 3 years of experience as Executive Admin. role or similar

• Proficiency in Microsoft Office Suite, specifically Microsoft Excel, is critical

• Exceptional written communication skills are required

• Must be deadline-oriented with the ability to prioritize tasks

• The ability to interpret and create contractual agreements

• Strong negotiation and relationship management skills

• Excellent attention to detail and problem-solving skills

• Must have the ability to work independently as well as part of a team

• Bachelor’s degree in Business Administration, Law or related field is preferred

• Knowledge of legal requirements involved with contracts

• Familiarity with accounting procedures is a plus

• Experience in using contract management software would be advantageous

• Must have the ability to handle multiple projects simultaneously and work under pressure.
