Job Description

Job Overview:As a key member of the IRC in Phoenix team, the Supply Chain Coordinator supports procurement efforts and oversees recordkeeping and reporting requirements. This position leads procurement efforts, manages IRC in Arizona’s fleet in accordance with established protocols, and coordinates other related supply chain activities such Inventory. Additionally, this position supervises the Supply Chain Assistant and may supervise interns and volunteers.

Major Responsibilities:

Major responsibilities include, but are not limited to:

Procurement

  • Research potential new vendors for needed furniture and household items and establish new vendor relationships in accordance with IRC procurement policies.

  • Support procurement efforts by coordinating with vendors, managing supply lists, and tracking and communicating market prices. Inform management team of inventory-related needs.

  • Order supplies, equipment, etc. in accordance with supply chain and financial compliance guidelines and coordinate servicing and repairs needed.

  • Manage and maintain digital and physical files.

  • Create and submit PR/PO requests, AP Journal and maintain Integra reporting.

  • Manage vendor billing/invoices in coordination with Finance team.

  • Ensure accurate recordkeeping to account for and track incoming and outgoing inventory by preparing forms and maintaining thorough records within IRC’s data management systems.

  • Observe correct stacking and turnover by implementing first in, first out (FIFO) or first expired, first out (FEFO) procedures.

  • Conduct distribution and network studies, monitor inventory, and analyze business requirements to develop strategies to achieve desired delivery times.

  • Monitor inventory levels, track stock movements, and analyze demand patterns to optimize inventory levels and minimize stockouts.

  • Collaborate with suppliers, vendors, and internal stakeholders to ensure timely and accurate delivery of materials and products.

  • Identify and resolve supply chain issues, such as delays, quality problems, and non-compliance with specifications or regulations.

  • Ensure compliance with Anti-Terrorism Convention (ATC) and other policies, updating records and systems as needed to maintain required documentation.

  • Implement and maintain supply chain management systems, software, and tools to enhance operational efficiency.

  • Collaborate with the logistics team to plan and schedule shipments, ensuring cost-effective and efficient transportation.

  • Other duties as assigned.

Logistics Coordination

  • Plan and schedule the transportation of goods from vendors to warehouses or clients.

  • Move equipment and goods between facilities as needed to meet business requirements.

  • Track and trace shipments to monitor delivery status and address any delays or issues that arise.

  • Maintain records of shipping documents, including bills of lading, customs forms, and distribution documentations.

  • Collaborate with internal teams to optimize logistics processes and improve efficiency.

Data Analysis and Reporting

  • Collect, analyze, and interpret data related to inventory levels, logistics performance, and supply chain metrics.

  • Prepare regular reports on key performance indicators (KPIs), such as inventory turnover, fill rate, and on-time delivery.

  • Identify areas for improvement and recommend strategies to optimize inventory management and logistics operations.

  • Utilize inventory management software and other tools to track inventory and logistics activities.

Job Requirements:

Education

Bachelor’s degree business administration, supply chain management, logistics or similar field strongly preferred. May be substituted with equivalent years of relevant work experience.

Work Experience

Minimum 3 years of related professional experience; preferably in a not-for-profit or other social services environment.

  • Able to lift 50 lbs. safely.

  • Valid driver’s license and access to a reliable, insured personal vehicle.

  • In accordance with Arizona State law, must possess or be eligible to receive a fingerprint clearance card.

Work Environment:

  • This in-person position moves between a standard office environment and a warehouse environment.

  • Occasional weekend and/or evening work is required.

  • This role entails periodic travel in and around the Phoenix metro area to attend meetings, carry out the responsibilities outlined above, and represent the IRC with donors, partners, and vendors.
