We are looking for an experienced and self-motivated individual to fill the position of  Maintenance Assistant with our Chemical Manufacturing Facility located in Hahnville, Louisiana.
Essential Job Duties:
  • Responsible for Maintenance Department Financial Close including researching and preparing monthly accruals for expenses, executing JV's for expense code corrections and contract labor, cost reporting for Variance Reports and provide research on significant variances, prepare Actual and Outlook Monthly Reports.   Assist in yearly budget process by preparing necessary detailed spreadsheets for Oxy Maintenance and Contract labor.
  • SAP Resource for Maintenance Department including creating new function location numbers (equipment), on-going maintenance of the directory (changes and deletions in SAP), and system support to users.
  • Administrator of Taft Plant's Monthly Contractor Headcount Report including research, preparation, and distribution.
  • Administrator - Contract (Turner & Shaw) payroll system in PeopleSoft including current employee upkeep, wage/crew revisions, terminations, document wage revisions (at HR request), and verify accuracy/coordinate daily/weekly approval of contractor's time in the payroll system.  Provide Safety Department monthly contractor work hours for corporate reporting.
  • Assist Shutdown Coordinator with cost tracking planning and actual. 
  • Scribe using PHA-Pro software and assist in Process Hazard Analysis (PHA) of Highly Hazardous Chemical (HHC) as per OSHA 1910.119.  Enters action items (guideline gaps, incident investigations, PHA’s, PSM, etc.) into Frontline and tracks to completion.  Provides monthly status report to Technical/Maint. Manager.
  • Release all Maintenance Preventative work orders in SAP Maintenance module on a weekly basis and forwards to Maintenance. Foremen to schedule work for upcoming week. 
  • Document Custodian for Maintenance Procedures and Technical Procedures Manuals including coordination and management of cyclic audits of procedures.
  • Maintain plant vehicle registrations and records.
  • Administrator of department's Critical Success Factors which includes collecting the data and graphs for Maintenance $ per ECU, Overtime, Absentee, Call-in Hours, Call-in #'s, Production Loss, Schedule Adherence, Breakins, Schedule Attainment, Priority WO's, MI Variance and RMP.
  • Audit contractor billing to insure accuracy according to contract.  Make corrections when necessary and prepare invoices for Maintenance Manager's final signature ($5 to 6MM/year of invoicing).
  • Perform annual audit of Contractor Safety Manual relative to Turner and Shaw.  Determine action items, issues reports, and track progress.
  • Manage department radios by issuing requisitions for repairs and supplies.  Assign radios to personnel and maintain Access file of current assignments.
  • Coordinate retrieval of data from the various departments for the Taft Plant's Significant Events Matrix, enter data into Oxy’s Leading Indicators website, and submit the final report for distribution to HESS Principal Risk Engineer.
  • Coordinate/Manage all clerical functions for the department, such as travel arrangements, preparation of expense reports, coordination of meetings, and procurement of supplies.  Functionally distributes clerical workload by retaining Oxy critical functions and assigning less critical jobs to the Contract Clerical employee.
  • Train A1 Contract Maintenance Assistant to perform clerical tasks such as contract payroll verification of time, recording completed mechanical integrity preventative maintenance (PM) documents into database for recordkeeping and auditing purposes, etc.  Verify accuracy of work completed by assistant.
  • Reconcile and manage to completion all inside and outside service purchase orders for Taft.
  • Research and resolve discrepancies in maintenance work orders to close out for accounting.
  • Manage Taft's REA database by working with Maintenance & Production personnel so as to assign new REA #'s, making changes when necessary, and completing items as directed.  Develop queries and reports to assist Manager's in reviewing their items.
  • PeopleSoft Administrator for entering department's vacation and new contract employees labor.
  • Bizagi Administrator for entering all CB&I & Turner contract employees into Peoplesoft and Time and Labor system.
  • Prepare and issue Open Action Item Report Monthly.
  • Maintain Turner & CB&I Contract updates and Work Rules as requested.
  • Maintain Contractor vacation spreadsheets.
  • Report all cost center 540 cost by “cost element” annually.
  • Maintain Taft Maintenance Organization History.
  • Headcount Coordinator for Maintenance/Technical Building.
  • Revise Contractor TRC Codes in Time & Labor as necessary.
  • Obtain Confidentially Agreement signatures for Contractors requiring computer access.
  • Prepare and report Turner and CB&I Labor cost to Purchasing Manager quarterly.
  • Report Turner and CB&I Labor Invoice differences to Plant Controller monthly.
  • Report all unpaid Turner and CB&I Labor Invoices to Plant Controller monthly.
  • Perform contractor labor journal vouchers through OxyLink weekly.
  • Prepare Oxy Maintenance Technician Absence and Overtime Report monthly for Maintenance Superintendent.
  • Manage Action Item database and track items to completion.
  • Create annual maintenance work orders.
  • Business complete maintenance work orders monthly.

  • Participate in Sarbanes-Oxley, PSM, etc. audits as it pertains to maintenance tracked PM's and contractor payroll administration.
  • Participate in SOX-Process Owner quarterly SCA surveys.
  • Participates and accepts responsibility for meeting plant and individual PSM goals and monthly spreadsheet responsibilities as required by HESP-610 Procedure.
  • Actively participates in plant’s Health, Environmental, Safety, and Security (HESS) programs to assure a safe and environmentally sound workplace.
  • Assumes accountability for meeting plant safety goals and various other requirements including training, work permits, critical items inspections, job observations, housekeeping, reporting hazards and issues, and working safely in job assignments.
  • Actively participates in safety meetings and various other HESS programs while promoting safety through offering recommendations to other employees on working safely.
  • Performs all work in a safe and professional manner.
  • Performs safety, quality, and environmental inspections as assigned.
  • Performs regular housekeeping to maintain a clean and safe work area. Complies with all safety, health, and environmental rules and regulations.
  • Supports and fulfills the requirements of the plant’s ISO Quality System.

Qualifications

  • High School Diploma or GED
  • Excellent Organizational skills - able to manage and prioritize numerous responsibilities to meet deadlines and effective work under minimal supervision.
  • Ability to communicate with all levels of management.
  • Ability to maintain confidentiality.
  • Work received from Maintenance/Technical Manager, Technical Superintendent, Maintenance Engineers, Maintenance Shutdown/SAP Coordinator, and Maintenance Superintendent.
  • Coordinate month end close tasks with Plant Controller
  • Execute JV's as requested by Capital Project Manager
  • Computer skills including MS Word, Excel, Power Point, SAP Maintenance and Stores modules, Microsoft Project, Access, PeopleSoft, PHA-Pro7 Software, LMS, Bizagi, Genetec, and ADEPT
  • Physical Requirements - Normal office functions with manual dexterity for typing, filing and general office work.  Ability to travel in all areas in the facility which may require walking, standing, sitting, climbing stairs, minor lifting and stooping, and working at a computer keyboard, as required.  Must be able to wear the required personal protective equipment.  Ability to respond to audible and visual alarms. 
  • Ability to communicate verbally and in written form.
