Hillsdale College Director of Events for External Affairs in Hillsdale, Michigan

The director of events reports to the executive director of programs primarily and the associate vice president secondarily. The director oversees the logistics of External Affairs events, including National Leadership Seminars, Constitution Day Celebration, and occasional special events. The director also assists with Center for Constructive Alternatives (CCA) seminars and the Free Market Forum.

  • Ensure that events are run smoothly.

  • Serve as liaison with venues and vendors before, during, and after events.

  • Oversee event logistics.

  • Conduct venue site visits and contract negotiation as needed.

  • Assist with the production and and mailing of guest invitations.

  • Run event speaker logistics, including booking of travel and accommodations.

  • Manage the hotel room block.

  • Oversee online guest registration process.

  • Manage pre-event and on-site table seating.

  • Manage on-site guest relations.

  • Supervise event student and staff workers.

  • Prepare and ship event materials and supplies.

  • Ensure all events start on time and end on time.

  • Process venue and vendor invoices.

  • Assist executive director of programs and associate vice president as needed.

Qualifications

Education and Experience

A Bachelor’s degree is required, plus meaningful experience in a similar role.

Physical Requirements

Ability to read, write, hear, speak, see, and communicate effectively. Ability to operate basic office equipment to include photocopier, fax machine, and computer. Occasional lifting of office supplies, booklets, etc. is necessary.

  • Knowledge of office practices.

  • Possess good interpersonal skills in dealing with College staff, speakers, subscribers, donors, students, faculty, and parents over the phone and in person.

  • Possess good organizational skills.

  • Ability to understand and follow oral and written instructions and to express ideas effectively.

  • Ability to be a self-starter, work with limited supervision, and make independent decisions.

  • Accuracy and thoroughness.

  • Possess sound judgment and maturity.

  • Knowledge of basic office machines.

  • Possess good grammar skills.

  • Maintain a calm and cheerful demeanor while handling multiple tasks on deadline.
