For more information: http://www.berkshirepulse.org Position Summary Berkshire Pulse is seeking an experienced administrative support staff member to assist with administrative functions and daily operations for a growing and vibrant dance education center in Housatonic, MA. Reporting to the Administrative Manager and Executive Director, the Administrative Assistant will be tasked with general administrative support, facilities maintenance, announcements and communications with staff and clients, assisting with special events, as well as daily interaction with clients and studio artists. This is an ideal opportunity for an experienced, positive, and self-motivated individual who values community and the arts, a collaborative working environment, and is detail-oriented. Hours Part-time, hourly: Approximately 25-30 hours total per week; schedule includes administrative hours as scheduled, with additional front desk coverage hours as agreed per session. Starting Rate: \$18.50/hour Responsibilities ADMINISTRATIVE Assist in preparing for each class session (Fall, Spring, Summer) by helping with necessary tasks, including organizing the calendar, building email lists, updating contact sheets, designating teacher cubbies, and maintaining forms/paper items at the front desk. Provide support during class registration periods, including maintaining class email lists and assisting with class communications, processing registrations and sending individual family/student communications, and tracking attendance. Assist with necessary archival work, including email list maintenance, google drive organization, and paper filing. Assist with ongoing administrative tasks, including building/sending youth program in-studio showing signups and coordinating attendance with families, preparing/handing out surveys, general upkeep of studio calendar, and remitting instructor payroll. General assistance with maintaining client accounts, paper forms, replying to inquiries, and other weekly administrative tasks. Assist with coordinating special events and performances, including oversight of related projects. FRONT DESK Act as ambassador for Pulse in visible position at front desk, including greeting and checking-in students, handling telephone/email requests in a professional and courteous manner by providing general information as able and forwarding requests to appropriate personnel. Open/close as scheduled, and assist with daily maintenance of Berkshire Pulse facilities, including oversight of supply needs. Maintain front desk organization, including using and maintaining MindBody client database, replenishing paper forms, sorting and cataloging dancewear, and ordering supplies as-needed Qualifications The ideal candidate will have: AA-BA degree or equivalent experience Ability to multitask in a busy environment Ability to work well within a community of artists and with the public Be sensitive and knowledgeable about contemporary identities, language, and respect for Pulse?s communities and cultures Strong attention to detail Strong interpersonal skills and ability to work collaboratively Strong administrative and troubleshooting skills Strong work ethic and willingness to take initiative Strong Google Docs/MS Office skills WordPress and MindBody experience a plus, but not required
