Job/Position DescriptionAdministrative Asst IIUnder the general supervision of the Program Manager for Waiver Survey and Certification (WSC) Health and Human Services (HHS) Long-Term Care Regulatory Services, the primary responsibility of this position is to provide administrative and clerical support for the Regional Office and its professional personnel including the Program Manager and survey staff of WSC. This position will facilitate draft, edit, de-identify and distribute reports as needed. Completes complex technical correspondence using Microsoft Windows, Access, Excel, Power Point, and Medicaid CARE System. Arranges for travel for assigned personnel. Prepares and processes employee reimbursement documents. Maintains discrete files. Cross-trains staff as necessary. Several other responsibilities as assigned. Assist with answering and routing phone calls, taking messages and greeting and directing visitors to appropriate staff. Checks and forwards postal mail daily. Obtains signature approvals on documents. Provides technical assistance when applicable. Serves as an office liaison with other departments. Essential Job FunctionsAttends work on a regular and predictable schedule in accordance with agency leavy policy and performs other duties as assigned. Completes, compiles information, enters information into database, de-identifies reports and QA reports as directed by the Program Manager. Answers or checks main phone line. Coordinates and completes travel arrangements and travel reimbursement. Maintains data bases and tracking systems. Coordinating open-record requests with legal staff and other units. Supports unit by coordinating work orders, ordering supplies and providing records and information to other units or other departments of HHSC. Coordinates activities and compiles and completes information related to provider enrollment and other conferences.Registrations, Licensure Requirements or CertificationsN/AKnowledge Skills AbilitiesExperience in performing complex clerical and/or administrative support duties with a high level of attention to fine details.Experience in word processing and operation of personal computers.Experience with spreadsheets and databases.Ability to communicate clearly and in a manner which promotes good customer service to include providing technical assistance or directing inquiries as necessary.Experience developing and maintaining document tracking and filing systems: both computerized and manual.Ability to prioritize workload to promote quality and efficiency of service delivery.Self-motivated and flexible to priority changes and frequent and extensive edits of documents and special projects.Ability to work cooperatively with others on projects or documents.Initial Screening CriteriaHS diploma or GED required. College Degree preferred.Experience using office equipment, printers, copiers, fax machines and computers.Experience using Microsoft Excel, Microsoft Outlook, Microsoft Word, Microsoft PowerPoint or other spreadsheets, databases or word processing software programs.Experience in the management, organizing workloads and setting priorities to meet deadlines.At least one year of previous experience working as an administrative assistant.Additional InformationThere will be an in-basket exercise at the time of the interview.Applicant must not have been convicted of a job-related misdemeanor or felony offense as listed under Health and Safety Code 250.006.
