FirstService Residential Corporate Accounting Team Coordinator in Irvine, California

Job Overview:

The Team Coordinator Administrative Assistant will provide support to the Corporate Accounting department. A successful candidate will have previous related administrative experience and the ability to function effectively in a fast-paced environment with a strong attention to detail.

The position requires an individual who must work with individuals of all levels within the organization since they will support requests from all levels of associates.

Compensation: $23-25/hr

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Job Responsibilities:

The job duties listed are typical examples of the work performed by positions in this job classification. Not all duties assigned to every position are included.

  • Add, update, and deactivate vendors and associates in/from our Accounting Software, T&E tool system and Vendor Platform
  • Maintain an active list of associates and vendors in our systems
  • Maintain our Vendor Platform research queues up to date
  • Assist in the preparation of regularly scheduled reports
  • Handle Audit requests related to our Accounting Software, T&E tool system and Vendor Platform
  • Develop and maintain a filing system for archival purposes
  • Provide general support to department associates
  • Key liaison between department and facilities for quality-of-life issues
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Deposit checks
  • Back-up forCollection Specialist
  • Ad hoc projects

  • Ability to anticipate busy schedules and communicate with other members of the organization/department to complete assignments on time

  • Excellent time management skills and ability to multi-task and prioritize work
  • Is extremely versatile with adapting with different management styles and personalities as this role will be supporting all organizational requests
  • General knowledge of Outlook and Excel (formatting)
  • Attention to detail and problem-solving skills
  • Strong organizational and planning skills
  • Good written and verbal communication skills

Education & Experience:

  • 2+ years’ experience in an administrative / team support role
  • Knowledge of Excel Preferred
  • Knowledge of Power Point preferred
