Overview

Summary:

We are seeking an Administrative Assistant to the National Oceanic and Atmospheric Administration (NOAA). The services requested through this project will support Alaska Region's (AKR) Technical Services and Records Branch, who is leading this initiative for the Alaska Region. Contractor services include administrative and logistical tasks required to meet the paper shipment deadline. This role shall provide intermediate-level administrative support related to records management, project tracking, and verbal and written communications.

Responsibilities

Essential Job Functions:

  • Responsible for all electronic cataloging and filing of records in the Archives and Records Centers Information System (ARCIS)
  • Tracking, organizing, packing, labeling, and preparing the paper records for shipment or disposition
  • Plan, organize, label/index, and box files. Prepare these records for shipment to the Federal Records Center. With appropriate AKR oversight, support destruction of records that are subject to disposal pursuant to the NOAA records retention policy
  • Utilize an efficient and effective tracking protocol to ensure that all paper files all appropriately accounted for during the boxing and shipping process
  • Provide regular updates to key AKR records staff, data owners, and data custodians throughout the course of the project to ensure clear coordination and communication of tasks assigned
  • May need to travel to coordinate and facilitate project work with AKR's Technical Services and Records team and other AKR staff

Qualifications

Necessary Skills and Knowledge:

  • General knowledge of records, information, and content management, including:
    • Records management and lifecycles
    • Records disposition
    • Intermediate administrative and technical skillsets
  • Excellent verbal and written communication skills.
  • Skills should be relative to government environment.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Ability to work independently with minimal supervision and as part of a team.
  • Possess excellent oral, written, and interpersonal communication skills.
  • Must be a self-starter, disciplined, and able to work without direction.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Familiarity with basic office equipment such as printers, copiers, and scanners.
  • Adaptability and willingness to learn new tools and technologies as needed.
  • Proficient in Microsoft Office Suite.

Minimum Qualifications:

  • High school diploma or equivalent
  • Minimum 1 year of relevant experience
  • Ability to travel as needed
  • Ability to successfully pass a background check

Preferred Qualifications:

  • Additional education or certification in office administration or related field is a plus.
