Your Specific Responsibilities:

This position spends the majority of the time engaged in supervisory responsibilities. This includes communicating with, motivating, training, and evaluating employees in addition to planning and directing employees' work. The incumbent has the authority to hire, transfer, suspend, lay off, recall, promote, discharge, assign, reward, or discipline subordinate employees or effectively recommend such action. The incumbent will also be required to develop performance expectations, meet with staff regularly to discuss performance, complete performance reviews, maintain vacation and work schedules, ensuring proper coverage, and complete timesheets.

Responsible for training employees in the use of the computerized clinic systems, eligibility requirements, cashiering to include appropriate billing codes, immunization schedules and other functions as required. Trains and supervises staff in the new Dental Program including scheduling into the new dental system, verification of dental insurances for new dental patients and ensuring that staff become familiar with billing codes for dental procedures. Ensures that the daily work is completed, and it is accurate. Communicates with clerical staff and management on a regular basis. Works with the clerical staff to ensure patient flow. Incumbent will rotate to all sites at least once a week to manage staff. Incumbent will act as a working supervisor and cover when needed.

Responsible for managing the maintenance, retrieval and filing of confidential medical records activities for all sites in LaBelle, Clewiston and Moore Haven. Functions as the Medical Records Officer for all three sites and responds to all legal requests for medical records in a timely manner. As Medical Records Liaison Officer, directs the coding, classifying, indexing, filing and/or disposition of all medical records. Reviews the medical records system to ensure that the department is in compliance with state requirements. Directs and manages all aspects of patient/client records including securing, accumulating, processing, preserving, retrieving and controlling distribution of individual patient/client health records.

Manages the activities of staff to ensure that all lab and medical information are timely filed in the electronic medical record system. Supervises staff as they process medical record releases to clients as requested, ensuring that staff are reviewing for completeness prior to the release of confidential information.

Assists professional staff in coordinating clinics as necessary, including Family Planning, immunizations, dental services and working with the Ryan White Program. Updates Health Management System (HMS) to reflect scheduling changes.

Consults with staff to determine areas of concern and possible solutions to problems with clinic processes and/or day to day operations. Advises higher level management on problems and policies related to programmatic and operational issues.

Performs duties as Vital Statistics Chief Deputy Registrar assisting with timeliness of reports and ensuring that security for vital stats is maintained. Will provide training for new Deputy Registrars when needed.

Qualifications:

Minimum:

  • Minimum of a bachelor’s degree from a U.S. accredited college university or 4 years billing or medical receptionist experience, or (4) years equivalent combined education and experience

  • Willing to work during or beyond normal work hours or days in the event of an emergency? Emergency duty required of the incumbent of this position includes working in Special Needs or Red Cross Shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural

  • Experience as a medical receptionist

  • Experience scheduling appointments for patients
