Robert Half Office Manager in Long Beach, California

Description

Position Overview:

We are looking for a dynamic and bilingual Spanish Office Manager with recent office managerial experience to lead our administrative team and support the day-to-day operations of our office. The Office Manager will play a critical role in ensuring the smooth and efficient operation of our administrative processes, with a focus on office management, customer service, and team leadership. Experience in the distribution industry is a significant advantage for this position.

Responsibilities:

  • Manage and supervise daily administrative operations, including reception, office supplies, and facilities management

  • Provide leadership and direction to administrative staff, including training, performance management, and scheduling

  • Serve as a point of contact for customers, vendors, and clients, addressing inquiries, resolving issues, and ensuring exceptional customer service in both English and Spanish

  • Coordinate with other departments to facilitate efficient communication and collaboration across the organization

  • Oversee administrative tasks such as data entry, filing, and document management to ensure accuracy and compliance

  • Prepare reports, presentations, and other materials as needed to support business operations

  • Handle financial tasks such as accounts payable, invoicing, and expense tracking with attention to detail and accuracy

  • Assist with HR functions such as employee onboarding, benefits administration, and maintaining personnel records

  • Utilize industry-specific software and tools to streamline administrative processes and improve efficiency

    Requirements

Qualifications:

  • Fluency in both English and Spanish, with excellent written and verbal communication skills in both languages

  • Recent experience in office management or a similar leadership role, preferably in a distribution or logistics environment

  • Strong organizational skills and attention to detail, with the ability to prioritize tasks and meet deadlines in a fast-paced environment

  • Excellent interpersonal skills and the ability to effectively communicate and collaborate with team members at all levels

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications

  • Experience with distribution industry practices and procedures is highly desirable

  • Bachelor's degree in Business Administration, Management, or a related field preferred
