Los Alamos National Laboratory Administrative Assistant 4 in Los Alamos, New Mexico
What You Will Do
The Associate Laboratory Directorate for Weapons Engineering is seeking a highly skilled and motivated Administrative Assistant 4 to join our team and provide critical support to the ALDW Staffing & Professional Development (SPD) Program Office. In this role, you will manage daily operations at our Pacheco Building Office, including scheduling conference rooms, handling Archibus hoteling requests, and coordinating visitor badges. You will also respond to safety and maintenance concerns, manage property in Sunflower, and assist with onboarding new hires. Additionally, you will support recruitment efforts by reviewing applicants, organizing hiring events, and managing job postings, helping to attract and retain top talent.
You will play a key role in Weapons University by coordinating courses, managing onboarding for subject matter experts, and assisting with contracts. Furthermore, you will help with recruiting activities and WESH tours, ensuring logistical details are managed for both events and visitors. Your attention to detail and organizational skills will be essential in maintaining smooth operations across various functions and supporting the workforce development initiatives of ALDW.
What You Need
Minimum Job Requirements:
Administrative Expertise: Demonstrated experience in high-level administrative tasks, including calendar management, office organization, and handling sensitive information. Strong background in facility operations and visitor logistics.
Organization and Time Management: Proven ability to handle multiple priorities, manage workloads independently, and complete tasks under tight deadlines.
Technology Skills: Advanced proficiency with institutional systems such as Archibus, Oracle, Concur, Ariba, AccessIT, SharePoint, and LA-UR applications. High competence in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Docs.
Communication: Excellent written and verbal communication skills, with the ability to interact professionally with staff at all levels and external partners. Strong attention to detail, particularly in proofreading and editing documents.
Leadership and Initiative: Experience providing guidance and support to junior staff, contributing to process improvements, and streamlining administrative procedures.
Security and Safety: Ability to handle sensitive or classified materials and maintain compliance with security protocols.
Education/Experience: Position requires a High School Diploma and 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation. At this level, additional training, certification, and/or education may be desirable.
Desired Qualifications:
Networking: Experience building and maintaining professional relationships within and outside of the organization.
Business Systems: Familiarity with iProcurement/Ariba, Concur, and other institutional systems. Experience understanding and navigating organizational structure and administrative policies.
Security Clearance: Applicants must currently hold, or have the ability to obtain, a Q clearance.
Work Location: The work location for this position is onsite and located in Santa Fe, NM. All work locations are at the discretion of management.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details
Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.
Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.
*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
