Job Summary

The Executive Assistant provides administrative support and office organization primarily to the Executive/Chief Officers of L.A. Care, in a highly professional manner, by managing projects, appointments, correspondence, and information to ensure objectives are met and confidentiality maintained.

Duties

Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications. Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Completes projects; following up on results. Prepares reports by collecting and analyzing information. (20%)

Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. (20%)

Secures information by completing data base backups. Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions. Facilitates execution of contracts. (20%)

Maintains customer confidence and protects operations by keeping information confidential. (15%)

Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries. Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies. (15%)

Performs other duties as assigned. (10%)

Experience

Required:

At least 1 year of proven experience as an executive administrative assistant or in other secretarial position.

Skills

Required:

Full comprehension of office management systems and procedures.

Excellent knowledge of Microsoft Office.

Exemplary planning and time management skills.

Up-to-date with advancements in office gadgets and applications.

Ability to multitask and prioritize daily workload.
