As an Executive Assistant, your day will be filled with opportunities to oversee the functionality and daily operations of all WM&T office locations.ResponsibilitiesOffice Manager: Oversees office communications and supports essential operations for two Louisville offices and all regional offices, currently including Cincinnati/Northern Kentucky, Indianapolis and Central Kentucky locations. Maintains office supply orders and coordinates maintenance requests of office equipment as necessary. Primary contact to Facilities for maintenance and parking matters.Special Events Liaison: Support designated WM&T Marketing Coordinator to plan, organize and coordinate with necessary parties for special events hosted by Wealth Management. Maintain and update Wealth Management & Trust Calendar of Events.Onboarding Coordinator: Responsible for Onboarding of new WM&T employees for local and regional office locations. Coordination with HR and IT for new employee checklist items.Coordinate Prospect Seminars, CLE Events, Social Events, External Workshops, Internal Training, and COI Events by providing assistance to Advisors in developing and preparing presentation materials, scheduling event details including discussion topics, speakers and appropriate materials, development of guest list, invitations, RSVP tracking, venue and food selection, as well as follow up with attendees and Wealth Management & Trust staff.Coordinate delivery of gifts/thank you’s to COI’s and CPA’s at various times throughout the year, as well as Client birthday cards.Coordinate with designated WM&T Marketing Coordinator on publications and newsletters to Business First, Investment Insights, Economic Update and Tidbits by writing, editing, proofing, and distributing.Coordinate miscellaneous projects including maintaining Wealth Management & Trust officer bios, assisting Marketing with press releases, updating and maintaining Wealth Management & Trust marketing materials, client presentation materials, assisting with special events, and speaking engagements.Assist Business Development officers and Wealth Advisors in creating, developing and implementing new business initiatives including but not limited to sales initiatives, sales literature creation, and prospect presentation preparation and assembly.Assist Executive Staff with various sundry initiatives as needed.Coordinate and oversee schedule for Management Trainees during WM&T rotation.Oversee Wealth Management & Trust sales incentive trip.Provide input and support to Marketing for Wealth Management & Trust portion of the Stock Yards website.Assist in putting together new business presentations.Other duties as assigned.Job RequirementsBS/BA in Business/MarketingMinimum 3 years’ experience in marketingDetail OrientedTeam OrientedProven ability to successfully interact with othersProfessional appearance and demeanorExcellent communication skillsExcellent organizational skillsProficient in Microsoft Word, Excel and PowerPoint,Ability to coordinate actions in relation to actions of othersBenefits401(k) with a company match of up to 6%ESOP employer matchMedical insuranceDental insuranceVision insuranceCancer / Disease insuranceAccident insuranceFlexible Spending AccountsHealth Savings AccountsBank paid Life / AD& D insuranceVoluntary Life / AD&D insuranceBank paid Short-Term and Long-Term Disability insuranceEmployee Stock Purchase PlanEmployee Assistance ProgramPhysical RequirementsThe physical demands described here are representative of those that must be met by an employee in order to successfully perform the essential functions of this job.
