Job Title: Internal Communications Officer

Work location: Mandaluyong

Work Schedule: Mon- Fri, Regular Office Hours

JOB SUMMARY

The purpose of this position is to perform clerical duties of moderate complexity and difficulty in accordance with the office procedures of individual departments. May include a combination of answering telephones, bookkeeping, typing or word processing, stenography, office machine operation, and filing.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • May type, format, proofread, and edit correspondence and other documents, from notes or/ and minutes of the meeting using word processing software.

  • May communicate with internal and external clients to answer questions, disseminate or explain information, take orders, and address complaints.

  • May complete work schedules, manage calendars, and arrange appointments.

  • May create a wide variety of template, company-sanctioned marketing materials that may include maps, advertisements, demographic reports, and executive summary brochures for in-house and client presentations using advanced desktop, graphic, and mapping software.

  • May perform technical duties such as working with multi-media software, setting up Audio Visual equipment, initiating video conferences, or operating phones or the Internet

  • Develop and implement internal communication on all office facility updates (scheduled housekeeping, preventive maintenance activities etc)

  • Plan, edit, and write content for internal communication mediums.

  • Ensure internal communications messages are consistent with external communication messages.

  • Preparation of QBR deck (Quarterly Business Reviewed presentation)

  • Send timely communication contents in relations to incidents that may impact business operations

  • Crafting of sophisticated signage within the workspace adhering to the distinguished standards and branding guidelines established by CBRE and our client.

  • Client Engagement: Quarterly newsletter creation and release, Facilities upkeep campaigns, Alignment of visual communications, Photography and documentation of client and CBRE activities.

  • Respond to feedback from staff and adjust communications content accordingly.

  • Ensure communication strategy is consistent and reflects the organization’s strategic vision.

Requirements:

  1. Proven experience in a similar role. (marketing/ branding or internal communications)

  2. Excellent writing, editing, and proofreading skills.

  3. Strong speaking skills.

  4. Proficiency in MS Office.

  5. Ability to deliver high quality documentation paying attention to detail.

  6. Bachelor's degree in communications or relevant field preferred but not required.

EDUCATION and EXPERIENCE

High school diploma or general education degree (GED) required. Minimum 2 years of related experience.

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.

FINANCIAL KNOWLEDGE

Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

REASONING ABILITY

Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.

SCOPE OF RESPONSIBILITY

Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
