Deery Enterprises LLC Office Administrator in Media, Pennsylvania

Our organization is searching for a well-organized and self-motivated Office Administrator to provide administrative assistance to our office workers. The office administrator's responsibilities will include performing clerical duties, scheduling, calendars, billing clients, organizing large volumes of construction documents and blueprints, and assisting in construction and electrical permit applications.

The candidate must be detail-oriented, professional, and have strong written and verbal communication skills.

Office Administrator Duties and Responsibilities:

  • Coordinate and manage appointments, client meetings, worker schedules, scheduling bids, and scheduling inspections.
  • Invoicing clients and monitoring Accounts Receivable and Accounts Payable.
  • Maintain, organize, and manage general office files such as job files, blueprints and electrical plans and specifications, vendor files, invoices, bills, contracts, purchase orders, permit applications, inspection files, and legal and accounting paperwork.
  • Purchasing office supplies, furniture, and equipment.
  • Billing clients including QuickBooks billing and AIA billing.
  • Track and monitor worker timesheets and schedules.
  • Assist in filing municipal and county construction permits, zoning permits, general permits, and electrical permits.
  • Assist in drafting, filing, and organizing legal and accounting and corporate paperwork, including WBE/MBE applications and SBA registrations.
  • Assist in maintaining Amazon Supplier Certification.

Office Administrator Requirements:

  • High school diploma or equivalent is required.
  • Expertise with a multitude of computer software programs, including the Microsoft Office Suite (Word, Excel, Outlook, Access, and PowerPoint).
  • Proficiency in QuickBooks, especially invoicing and report generation.
