Description We are in the search for a meticulous Administrative Assistant to join our team in the Real Estate Property/Facilities Management industry based in MELVILLE, New York. This role provides a unique opportunity to transition into a contract to hire employment opportunity. The primary function of this role will be to manage administrative tasks such as answering phones, responding to emails, filing, and scanning, among other daily duties.

Responsibilities:

• Answer phone calls in a professional and courteous manner, directing them to the appropriate personnel or department.

• Manage inbound and outbound emails, ensuring prompt responses and appropriate actions.

• Maintain organized filing systems for easy access to documents and efficient workflow.

• Execute scanning tasks, ensuring all necessary documents are digitized and properly stored.

• Carry out other administrative tasks and daily duties as needed to support the smooth operation of the office.

• Utilize administrative skills such as filing and scanning to keep office documents organized and easily accessible.

• Direct phone calls to the appropriate departments or personnel to ensure efficient communication within the office.

• Contribute to the overall efficiency and effectiveness of office operations through reliable performance of administrative tasks.

• Ensure all tasks are completed in a timely manner while maintaining a high level of accuracy and attention to detail.

• Assist other members of the team as needed, demonstrating team-player attitude and professionalism. Requirements • Minimum of 1-2 years experience in an administrative role within the Real Estate Property/Facilities Management industry.

• Proficient in administrative tasks such as filing, scanning, and directing phone calls.

• Strong interpersonal skills with the ability to communicate effectively with colleagues and clients.

• Proficient in using office software such as Microsoft Office Suite and property management software.

• Excellent organizational skills with the ability to multitask and prioritize workload.

• Detail-oriented with the ability to maintain accurate and updated records.

• Strong problem-solving skills with the ability to find effective solutions to administrative issues.

• Ability to work independently with minimal supervision.

• Excellent written and verbal communication skills.

• High school diploma or equivalent required; further education in Business Administration or related field is a plus.
