    POSITION DETAILS

    POSITION SUMMARY

    This is an administrative position assisting the Regional Program Supervisor and other staff within the Medicaid Waiver Work Stream and coordinates with other administrative support staff within the region to ensure administrative functions are conducted timely to promote regional operations.

    Essential Functions of the position are:

  • Process consumer/client file transfers, consumer/client file closures and issue applicable notices within the Agency’s electronic record keeping system – iConnect based upon Agency policies/procedures. Compiles and reviews accuracy of materials and documentation for Waiver Support Coordinator (WSC) selection and maintains WSC caseload tracking.

  • Reviews and request consumer/client notices for translation including reviewing for typographical and/or grammatical errors to ensure timely and quality work products. Notices must be routed for translation in accordance with APD policies/procedures to ensure timeliness.

  • Assists supervisor by tracking incoming assignments for the Waiver unit and ensuring assignments are completed within required timeframes. Prepares and track various spreadsheets for Medicaid Waiver unit. Prepares reports for waiver activities as requested.

  • Answers phone and email inquiries within one business day of receipt and routes complex inquiries to appropriate staff for response. Reviews, analyzes and prepares draft memos and correspondence for staff signature. Types correspondences as requested by supervisor.

  • Assists with providing adequate phone coverage in person for the Region’s front desk reception office area. Routes office visitors and/or callers accordingly.

  • Screens, sorts, and distributes mail and correspondence for waiver unit. Assists with coordination of meetings, presentations and special projects including preparation of materials, securing of meeting space and issuing meeting notices.

  • Performs other duties as assigned.

    POSITION REQUIREMENTS

  • One or more years of experience in using Microsoft Office Programs (Word, Excel, PowerPoint, Access, Outlook)

  • Ability to speak Creole or Spanish preferred.

    Knowledge of:

  • Knowledge and proficient use of Microsoft applications (Excel, Word, Power Point Share Point) and other required computer software applications.

    Ability to:

  • Ability to communicate orally and in writing, (face to face, electronically and/or written) information and ideas clearly, concisely, and effectively.

  • Ability to establish and maintain effective working relationships with consumers, families, providers, and staff within and across regions.

    As a condition of employment, a person appointed to a position in the State Personnel System is required to participate in the Direct Deposit Program. Rather than receiving a paper paycheck, your funds will be deposited directly into your account at your financial institution. This will be accomplished by Electronic Funds Transfer. Banks, savings and loan associations, and credit unions are eligible to accept such deposits. Retirement funds are also required to be in the Direct Deposit Program.

    BACKGROUND SCREENING REQUIREMENT

    It is the policy of the Florida Agency for Persons with Disabilities that applicants for employment undergo Level 2 employment screening in accordance with the requirements of Chapter 435, Florida Statutes, as a condition of employment or being permitted to serve as a volunteer.
