The Onboarding and Regulatory Compliance Associate is responsible for CHC’s Employee Life Cycle process which will follow the employee from onboarding to off boarding. Duties include, but are not limited to, interfacing with recruitment team and providing support with on-boarding candidates and being responsible for regulatory compliance of the employee life cycle process. Additionally, individual is responsible for providing general HR support and other duties and special projects as assigned.

ROLE AND RESPONSIBILITIES

  • Maintain regulatory compliance of our employee life cycle process from onboarding to off boarding.

  • Oversees and conducts monitoring of employee personnel files for regulatory compliance processes.

  • Responsible for compliance oversight of paperwork/documents for new hires including, but not limited to: I9 documentation, licenses, onboarding paperwork, departmental orientations, and infection control to ensure compliance with internal and external policies and legal requirements

  • Assist Manager of Compliance and Regulatory Programs in designing and implementing programs, policies and audit processes and practices to ensure all individuals comply with DPH, DCF, Joint Commission, PCMH and HRSA Health Center

  • Assist Manager of Compliance and Regulatory Programs in establishing and implementing an effective regulatory compliance program with related regulations and standards. Individual will be part of a team that develops relationships within the organization to ensure effective communication and partnership /cooperation in the federal guidance/legislation process.

  • Assist Manager of Compliance and Regulatory Programs in implementing internal controls, performing continuous monitoring and testing, and maintaining databases of all monitoring activities. Provides reports as needed and assists in developing corrective actions plans.

  • Manages the worker employee process, including but not limited to assisting the recruiters with the onboarding of all hires, inclusive of temps, and internal transfers

  • Initiate and process background checks through background check vendor

  • Process internal offer letters for promotion, location, site, and compensation changes; adding additional documentation to personnel files when needed

  • Work with the credentialing team to verify all clinical health providers have submitted proper documentation and are cleared to work with patients

  • Gather and process paperwork for new hires including but not limited to: I9 documentation, licenses, onboarding paperwork, departmental orientations, and infection control

  • Organize and assist with New Hire Orientation for incoming hires including orientation presentations with the necessary Leadership and CEO

  • Craft and send emails to the incoming hires with information about the company, including work schedules, dress code and parking options for orientation

  • Prepare emails detailing infection control, CPR, and other healthcare requirements needed prior to candidate start date and as a condition of continued employment. Continuous follow-up via email or phone call, as needed to ensure all documents have been received prior to New Hire Orientation

  • Answer any questions that incoming new hires may have about policies, requirements, etc.

  • Special Projects as assigned

QUALIFICATIONS

  • Associates Degree required, Bachelors preferred

  • Minimum three (3) years’ experience in human resources preferably with recruitment, and employee relations

  • Excellent interpersonal and relationship building skills across business groups internally and outside the organization. Proven ability to collaborate with all levels of employees

  • Strong organization and prioritizing skills with attention to detail.

  • Knowledge of HR laws and current practices

  • Be self-motivated with the ability to work independently; can anticipate needs and work proactively

  • Experience with HRIS, preferably Workday

  • Knowledge and experience with applicant tracking systems

  • Strong MS Office skills. Ability to generate reports and analyze data

  • Adaptable and able to respond to changing priorities.

This is a full-time HYBRID position (40 hours) - with set expectations of going on-site (in Middletown) at least once a week. The hours are flexible and may fluctuate depending on the needs of the region.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT

Must be able to travel between sites with the region.
