Overview: We are seeking two Accounting Specialists to join our team! These positions will work closely with the team members in the department to execute their job responsibilities. Individual responsibilities are listed below for these positions; please indicated in your cover letter if you'd like to be considered for one or both positions. 1. Accounting Specialist (Accounts Receivable/Accounts Payable) This position is responsible for accurately applying the daily cash deposits, identifying next steps for any amounts placed in Unapplied Funds, and daily reconciling of bank activity. Other responsibilities include but not limited to creating new vendor profiles for accounts payable. Key Responsibilities Include: Accounts Receivable Responsibilities: Accurately post daily deposit payments to Accounts Receivable. Research and document client payment information. Monitor and resolve unapplied cash through payment application or refunds. Participate in deposit process improvement projects. Complete requests for account write-offs, adjustments, reversals, and reallocations, either as part of the daily cash process or on an ad hoc basis. Reconcile daily cash activities with bank statements. Accounts Payable Responsibilities: Create new vendor profiles in the accounts payable system. Serve as backup for finance-related activities include but not be limited to deposit coordination and record trust transactions into the firm's various trust accounts. Our Ideal Candidates Will Have: Associate degree in Accounting, Finance, Business Administration, or related field preferred. Alternatively, 2-4 years of relevant professional office experience. Minimum 2 years of experience in deposit preparation, cash application, accounts receivable, or related financial roles. Experience with accounting software and ERP systems (e.g., SAP, Oracle, 3E, Chrome River). Prior law firm experience a plus but not necessary. Skills: Strong analytical, organizational, and problem-solving skills. High attention to detail and accuracy. Proficiency in Microsoft Office products and Adobe Acrobat. Excellent communication and interpersonal skills. Ability to work independently and collaboratively within a team. Other Role Information: Hybrid work schedule of 3 days in office and 2 optional remote days per week, coordinated with team needs. Standard work hours Monday through Friday, 8:00 AM to 4:30 PM, with flexibility. Ability to handle sensitive and confidential information with a commitment to financial accuracy. 2. Accounting Specialist (Accounts Receivable Coordinator) This position is responsible for accurately coordinating and processing the daily deposit in a timely manner.It also includes identifying and resolving deposit discrepancies and issuing refund checks as needed and performing bank account reconciliations. Other responsibilities include but not limited to distributing incoming mail addressed to the finance department. Key Responsibilities Include: Deposit Coordination Responsibilities: Coordinate and document daily deposits accurately. Research client payment information and assign ledger details. Manage unapplied cash and process refund checks as necessary. Conduct bank statement reconciliations. Additional Responsibilities: Distribute incoming mail addressed to the finance department.
