Bio-Techne Executive Assistant in Minneapolis, Minnesota

Position Summary:

In this position you will be responsible for providing attentive and proactive support to multiple executives in a dynamic environment. This position provides administrative support by proactively finding ways to maximize the executives’ time, minimize obstacles and support efforts to complete strategic initiatives and organizational goals. Key aspects of the role include calendar and meeting management, travel planning, expense management and related administrative duties.

The Executive Assistant must represent a high degree of integrity, discernment, and confidentiality. This role requires an independent thinker and proactive planner with the ability to function effectively and take initiative to contribute under minimal supervision. As a key executive support for this team, your contributions will be critical in nature.

Key Responsibilities:

  • Complex calendar and meeting management for multiple executives in a dynamic environment.

  • Coordinate domestic and international travel arrangements, lodging, and transportation for assigned executive staff and others as needed.

  • Proactively manage and prioritize multiple key meetings as instructed by the leadership team and follow through on issues in a timely manner. Organize/schedule and set-up for annual, quarterly, and ad hoc meetings, reviews and monthly projects.

  • Coordinate conference, offsite and internal event planning for supported executives.

  • Periodically provide vacation coverage for the other Minneapolis based Executive Administrative Team.

  • Liaison to other corporate executives and Board of Directors on projects and goals.

  • Coordinate catering , team dinners and related logistics for supported executives.

  • Support expense tracking and reimbursement process within corporate policies.

  • Prepare and distribute meeting agendas, presentations, and related materials for executive staff and leadership teams.

  • Suggest and implement improvements to office and department procedures and methods to optimize team productivity and efficiency.

  • Receive and screens phone calls, take messages, respond to internal and external inquiries, and provide routine information within the scope of authority.

  • Willingness to assist with all other projects assigned to benefit the overall operations of the team and Bio-Techne.

Qualifications

Education and Experience:

  • High School Diploma with two years of college or equivalent required. A Bachelor’s degree is preferred.

  • Minimum of 5 years of senior administrative assistant experience supporting an Executive or Director required.

  • Highly proficient in Microsoft Office Suite (Outlook, Excel, and Powerpoint) are required.

  • Experience with Diligent and Concur a plus.

  • Ability to follow company policies and practices as outlined in the Handbook and follow guidelines regarding safety as outlined in the AWAIR, Chemical Hygiene and Exposure Control manuals in accordance to the job.

  • Ability to deal with and protect highly confidential information.

  • Must be self-motivated and possess a high degree of integrity. Demonstrates excellent communication skills, both verbal and written. Strong business acumen, administrative, issue recognition, time management, project coordination , prioritization, decision making, and analytical skills.

  • Demonstrates ability to manage change and adapt work style and processes accordingly.

  • Ability to establish and maintain effective working relationships with the Board, employees, vendors, business leaders, and others.

  • Knowledge of the systems, products, and services of the company.

  • Knowledge of and ability to use personal computers and advanced knowledge of related software such as Microsoft Office (Word, Excel, PowerPoint), Internet, and email application.

  • Highly skilled in planning including identifying and organizing action steps to achieve desired results.

  • Highly skilled in problem solving including the ability to identify and appropriately evaluate an alternative course of action.

  • Ability to work hours that conform to standard business operations (8:00 A.M. to 5:00 P.M.) with occasional support work during evenings and weekends.

  • Travel will be limited, though some will be required.
