Library Systems & Services Administrative Assistant I in Mobile, Alabama

LAC Federal is seeking an Administrative Specialist I to play a crucial role in coordinating and managing administrative tasks within an information technology environment at a federal agency program in Mobile, Alabama. This position involves overseeing the collection and preparation of operating reports, budget expenditures, and statistical records of performance data. Additionally, the Administrative Specialist may oversee various support services, such as maintenance, repair, supplies, mail handling, and file management. Utilizing computer systems, including PCs, the Administrative Specialist compiles, stores, and retrieves management data to support decision-making processes and organizational efficiency.

RESPONSIBILITIES:

  • Report Coordination: Coordinate the collection and preparation of operating reports, budget expenditures, and statistical records related to performance data within the information technology department, ensuring accuracy and timeliness.

  • Budget Management: Assist in tracking and monitoring budget expenditures, providing support to ensure adherence to financial guidelines and allocation of resources in alignment with organizational goals.

  • Statistical Recordkeeping: Maintain comprehensive statistical records of key performance indicators and metrics, analyzing data trends and patterns to support informed decision-making and operational improvements.

  • Service Oversight: Direct and oversee administrative services, including maintenance, repair, supplies procurement, mail handling, and file management, ensuring efficient and effective support for departmental operations.

  • Data Management: Compile, store, and retrieve management data using computer systems, including PCs, employing software applications and databases to organize and manage information effectively.

  • Communication Support: Assist in facilitating communication within the department and with external stakeholders, coordinating meetings, preparing agendas, and documenting minutes as needed.

  • Documentation: Maintain accurate documentation and records related to administrative processes, policies, and procedures, ensuring compliance with regulatory requirements and organizational standards.

  • Project Support: Provide administrative support for departmental projects and initiatives, assisting in planning, coordination, and implementation as required.

Requirements

  • High School diploma or equivalent.

  • Minimum of 1-3 years of relevant experience in administrative support roles.

  • Proficiency in computer applications, including Microsoft Office suite (Word, Excel, PowerPoint).

  • Strong organizational skills and attention to detail.

  • Effective communication and interpersonal skills.
