The primary responsibility of the Procurement / Purchasing Manager is to support procurement / purchasing strategies and manage the team in their daily activities of sourcing suppliers and purchasing products, equipment, and services. This individual ensures the procurement / purchasing activities and initiatives necessary to the timely delivery of the specified materials and services at competitive pricing have been executed. They understand the overall business strategy and use this to coordinate procurement / purchasing activities that will meet the needs of the business.

Key Roles and Responsibilities:

  • Manage services, materials and supplies sourcing and purchases within budget guidelines.

  • Negotiate and renegotiate advantageous prices, services, and terms with vendors/suppliers.

  • Analyze existing procurement / purchasing processes for performance

  • Implements improvements to existing procurement / purchasing processes and delivery systems

  • Handle contract negotiations with vendors and suppliers and partner with legal to implement agreements and contracts

  • Identify ideal suppliers based on quality, cost, and reliability.

  • Understand the contractual responsibilities related to agreements with key indirect suppliers and manage compliance.

  • Support global procurement / purchasing initiatives, including savings and business improvement goals.

  • Record and report savings and other key procurement metrics as directed.

  • Maintain relationships with vendors/suppliers to ensure responsive service and timely resolution of all issues.

  • Ensures the procurement / purchasing activities and initiatives necessary to the timely delivery of the specified materials and services at competitive pricing has been executed.

  • Coordinate the maintenance of the overall procurement / purchasing management system for identification, tracking, and control of assets to support audit requirements.

  • Contribute to the creation of spend forecasts and then monitor these against the actual spend.

  • Coach, mentor and develop individuals in the team and take the lead in critical situations.

  • Make tactical recommendations and/or decisions for various sourcing activities.

  • Respond to inquiries from internal stakeholders by providing information, direction, and or appropriate referrals.

  • Ensure that all procured items meet the required quality standards and specifications.

  • Prepare cost estimates and manage spend in accordance with budgets.

  • Analyze trends in order to recommend improvements and identify new vendors/suppliers without jeopardizing current quality and service delivery.

  • Ensure full compliance with procurement / purchasing rules and regulations.

  • Manage a monitoring system that ensures that prices paid for materials are in line with local market prices.

  • Track and report key functional metrics to reduce expenses and improve effectiveness.

  • Review purchase order claims and contracts for conformance to company policy.

  • Administer online purchasing systems.

Knowledge, Skills and Attributes:

  • Knowledge of global sourcing and procurement strategies, tactics, processes, procedures and systems

  • Familiarity with procurement software and systems to streamline processes, manage data effectively, and enhance efficiency. Ability to leverage technology solutions to optimize procurement operations

  • Understanding of the market conditions and trends

  • Broad knowledge and understanding of IT industry environment and business needs

  • Good knowledge of inventory and supply chain management

  • Ability to engage with a variety of stakeholders and colleagues at all levels

  • Proficiency in Microsoft Office and procurement / purchasing software

  • Critical thinking and negotiation skills

  • Good knowledge of procurement principles, practices, and procedures, with a demonstrated ability to develop and implement effective strategies

  • Good planning and organisational skills

  • Ability to work independently

  • Ability to establish and manage processes and practices through collaboration and the understanding of business

  • Excellent communication skills (verbal and written) with the ability to present information clearly and succinctly

  • Good leadership skills with the ability to manage a team

  • Ability to recognise opportunities for enhancement and continuous improvement

  • Ability to coach and mentor a team to drive deliverables

  • Working knowledge of negotiation techniques in the industry

  • Solid judgement along with decision making skills

Academic Qualifications and Certifications:

  • General Qualification in Supply Chain Management / Purchasing / Business Management (Degree)

  • Professional certifications such as Certified Professional in Supply Management (CPSM) or Certified Purchasing Manager (CPM)

Required Experience:

  • Experience in a similar purchasing role within a large scale (preferably multi-national) technology services environment

  • Advanced strategic sourcing experience including proficiency in conducting competitive procurement and negotiating agreements covering a broad range of commodities

  • Advanced savings and cost reduction experience

  • Familiarity with sourcing and vendor management
