Vanderbilt University Commute Systems Coordinator in Nashville, Tennessee

Vanderbilt University Public Safety Department has an immediate need for a Commute Systems Coordinator.

This position will be assigned to the Parking Services team and will be responsible for processing the online sale of parking permits and maintaining multiple databases and software systems. The Commute Systems Coordinator will engage with the VU community and visitors providing excellent customer service, and standardizing processes and procedures to ensure that a high-level of customer service is maintained.

This position is an on-site/in-person position and will spend approximately 60% of time providing support to Vanderbilt’s parking team on daily, annual, hourly, and special event parking customer service. Approximately 40% of time, this position will manage multiple software and database systems.

Reporting directly to the Parking Services Manager the Commute Systems Coordinator will collaborate with the Transportation & Mobility Office to align customer service principles, goals, and reporting with the MoveVU goals and broader institutional values. The Transportation & Mobility Office guides the implementation of MoveVU by encouraging university faculty, staff, and students to ride transit, walk, bike, carpool, and vanpool when possible.

About the Work Unit:

Vanderbilt University Public Safety comes under the charge of the Office of the Senior Associate Vice Chancellor and Chief of Police for the Division of Administration. The Public Safety Department includes a staff over 300 personnel. The department is organized into four Divisions: Administration, Operations, General Services, and Emergency Management. The Department employs commissioned officers, non-law enforcement academy trained officers for security-related functions, and administrative personnel.

Duties and Responsibilities

Administrative Support:

  • Perform clerical tasks related to the daily parking program including processing daily parking applications and cancellations.

  • Maintain accurate records and database related to parking services program and activities.

  • Handle incoming inquiries and route them to the appropriate staff members.

  • Resolve parking permit issues and questions.

  • Address parking complaints and guide customer decisions about parking options.

  • Utilize a variety of software programs to collect, track and analyze parking permit activities and customer service requests.

  • Work with vendor software programs for annual parking permits to respond to questions from customers.

  • Create reports for parking utilization, permit sales and other data points, using reporting functionalities in various software programs including T2 and Luum.

  • Coordinate deadlines and prioritize competing demands.

  • Assist in special projects and initiatives as assigned.

  • Contribute to a positive and collaborative work environment.

  • Provide exemplary customer service to all university community members and the public.

Special Events:

  • Work with the University and medical center community on finalizing parking for events, maintain the Special Event database, create reserved parking signs, communicate with management and staff concerning special events, and provide access control as required.

  • Attend meetings as requested by the manager as it relates to special events/athletic events or in the absence of the manager.

Qualifications

  • Associate degree from an accredited institution of higher education is necessary.

  • Bachelor’s degree is preferred.

  • Two years of relevant experience is required.

  • Experience in a higher education institutional setting or customer service center is preferred.

  • Demonstrated skills in team management, project prioritization, and customer service are required.

  • Experience with Microsoft Office and specifically Microsoft Excel is necessary.

  • Experience with employee management software, commute benefit software, or parking management software is preferred.

  • Strong organizational, interpersonal communication (verbal and written) skills are required.

  • Ability to understand the procedures, processes, systems, and infrastructure that must integrate to create a seamless parking and transportation experience for the VU community is necessary.

  • Ability to understand the attributes of Vanderbilt University’s values and convey how it informs parking, transportation, and sustainability goals is necessary.

Physical Requirements:

  • Moderate physical effort.

  • Must be able to sit, stand, walk, bend, stoop, push, and pull objects up to 25 pounds.

  • Mobility and ability to assist in the movement of objects.

  • Meet written departmental standards on appearance/grooming.

Working Environment:

  • Seldom or never exposed to unpleasant working conditions.

  • Environment may be stressful requiring the ability to multi-task.

  • May be required to work during special events held on campus.
