Overview
The School of Environmental and Biological Sciences, located on the George H. Cook Campus, is one of the largest schools of Rutgers University in New Brunswick, New Jersey. We pursue excellence in research, teaching, and outreach in areas of study that address the biological spectrum from molecules to ecosystems. Our emphasis is on both the fundamental sciences and the social and human dimensions. We offer 21 undergraduate majors, including plant and animal sciences, microbiology, biotechnology, agriculture and food systems, landscape architecture, food and nutritional sciences, ecology and evolution, marine science and oceanography, environmental sciences and meteorology, human ecology, entomology, and environmental economics.In addition to instruction in the classroom, field, and laboratory, our students have opportunities for experiential learning on and off campus, including a growing emphasis on international experiences through short- and long-term study abroad. Students also have access to a robust program of applied research and outreach hosted by the New Jersey Agricultural Experiment Station laboratories, farms, business incubators, and marine stations throughout the state.
Posting Summary
Rutgers, The State University of New Jersey is seeking a Business Assistant II for the School of Environmental and Biological Sciences. This position is reporting to the Business Specialist Supervisor and under general supervision and is responsible for financial administration of all funding sources Processes various financial documents and data.Among the key duties of the position are the following:
  • Analyzes data and prepares internal financial reports consistent with a basic understanding of the mission, vision, role, and goals of the business unit, and the tasks and responsibilities of the Business Assistant II with respect to achieving unit goals.
  • Prepares and coordinates administrative work of the unit, which may include personnel, purchasing, academic support, policy dissemination and application, and office operations/maintenance.
  • Works under direct supervision, with specific instructions on routine or semi-routine work, and within established work parameters for the unit. Work is usually reviewed upon completion.
  • Performs professional work requiring knowledge of general accounting principles and practices, and the basic application of concepts, theories, and terminology of accounting.

Qualifications

Minimum Education and Experience
  • Requires a bachelor's degree in accounting, finance, business administration, or related field; or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of generally accepted accounting principles (GAAP) and practices.
  • Also requires a minimum of two years relevant experience in a financial/accounting function, good communication skills, and computer literacy.

Required Knowledge, Skills, and Abilities
  • Provides management of accounting operations within the Department and provides oversight and detailed accounting and reconciliation of Department accounts.
  • Under general supervision, administers a variety of state, federal, grant, discretionary, gift, ICR, and endowment accounts.
  • Interacts frequently with Rutgers personnel (faculty, administrators, business managers and administrative staff) to quickly and responsibly resolve problems that may arise concerning grant accounts and the departmental operating budget while maintaining departmental financial records.
  • Exercises judgment on allocation of grant charges and determines and advises faculty on appropriateness of charges on financial matters.
  • Stays constantly apprised of current federal and other granting agency restrictions on the expenditure of funds and ensures that all financial activity within the Department follows all University and agency policies, procedures, and regulations.
  • Must identify and manage potential risks in connection with grant funding of research programs. Responsible for financial monitoring, reconciling and close out of grant, gift, endowment, and other departmental accounts.
  • Tracks purchasing, commitments and expenditures.
  • Prepares and/or reviews financial documents which include but are not limited to requisitions, journals, travel advances, and travel reimbursement to authorize expenditures based on funds availability and appropriateness of charges on state, federal, and discretionary funds.
  • Responsible for developing and managing internal budgets for a wide variety of accounts so that faculty can carry out their critical research operations.
  • Prepares Expense Report for department travelers, meeting deadlines and adhering to University Regulations while expeditiously obtaining reimbursements for employees.
  • Analyzes data, prepares financial documents and monthly reports for internal purposes, timely reconciliation of all accounts for which department has budgetary authority.
  • Resolution of discrepancies and problems working with external departments, SEBS Business Office and Budget Offices, Payroll, and vendors.
  • Assist Departmental Chair and Associate Director with special projects.
Preferred Qualifications
  • Working knowledge of Oracle Financial Management, Expense Management, SciQuest (Marketplace) Procurement.
  • Ability to create custom reports and complex financial analysis utilizing excel is preferred.
