We are looking for a highly motivated, diligent, and skilled individual to join our exciting and dynamic Corporate Development team, as a part time Executive Assistant. The part time Executive Assistant will work alongside Corporate Developments full time Executive Assistant, supporting the team broadly.

Success in the Executive Assistant role includes exercising superior judgment based on experience, advanced technical proficiency, and exceptional time management skills. The Executive Assistant will be focused on developing strong, collaborative relationships across multiple constituents to enable progress, and must act as an extension of the team they support in various communications.
Impacts Youll Have:
Organizational Time Management:Work closely with the Corporate Development team broadly by assisting with the optimization of their time, including:
Coordination of complex internal and external scheduling and extensive calendar management for the group head and other senior team members (e.g., anticipating conflicts and being proactive in calling attention to critical meetings that require preparation)
Demonstrate strong business acumen and organizational savvy to effectively prioritize and manage requests; provide the appropriate degree of flexibility and ensure follow-through on issues in a timely manner
Handle logistics for team meetings, including anticipating technology needs and hybrid-work environment concerns, assist with preparing materials, and tracking meeting attendees
Send meeting invites with details, meeting materials and any other required content
Coordinate meetings and interactions between partners across the firm, executive management, and external parties (e.g., investment bankers, lawyers, consultants):
Handle confidential information and appropriately communicate sensitive information to members of Corporate Development and Senior Management
Team Liaison:Represent the leaders and the team as a key contact for the work they lead
Act with a high level of professionalism in representing and handling in-person, virtual and email communications
Work collaboratively with other administrative staff, project coordinators or support functions to efficiently and effectively coordinate project work
Act as a trusted partner to the team and demonstrate sensitivity for confidential matters discussed or shared; maintain and ensure the integrity and confidentiality of all information and data
Develop and maintain strong, credible relationships across the firm
General Administration for Team
Coordinates Travel
Manages Expenses for team members & submit invoices for payment to vendors
Manages Records & Business Continuation Plan for Department
Submits ISAMS (Information Security Request) for team
Submits GETS reporting and approvals for the team, as needed
Plans Events for Team (e.g., team outings, volunteer events)
Coordinates the purchase of office supplies and furniture, office equipment, etc., for staff in accordance with company purchasing policies and budgetary guidelines
Assists with ad hoc projects, as needed
Competencies Knowledge, Skills, Abilities:
5 years of prior, relevant work experience, supporting diverse teams and senior executives
Superior proficiency with technology skills, specifically in the use of Microsoft 0365 Suite (Outlook, Word, PowerPoint, Excel, SharePoint, and Teams), other virtual collaboration tools (e.g., Zoom), Workday and the ability to learn necessary Prudential applications
Strong organizational awareness and ability to build relationships
Extensive calendar management capability
Prioritization skills and ability to be proactive:
Proactively monitor calendars for conflicts or reprioritization, keeping team members informed of upcoming commitments and responsibilities, and making necessary adjustments
Communicate across teams about priorities and business objectives
Strategic thinking while managing tasks and linking the work across functions and businesses
Strong attention to detail, task follow-through and quality of work
Ability to coordinate meetings across various geographies, time zones, etc.
Strong time management skills and ability to meet tight deadlines while managing multiple tasks
Problem-solver who independently resolves situations
Willingness to continue to learn; embraces change and enterprise transformation efforts
Requires in the office presence at least 3 days/week
