Imbibe Quality Document Technician in NILES, Illinois

Summary of Position

The primary responsibility of this role is to ensure accurate and comprehensive documentation related to ingredients and finished goods manufactured for and sold by the Company. This role plays a crucial role in maintaining quality standards, regulatory compliance, and customer satisfaction, contributing to the quality and safety of food products while ensuring compliance with industry standards.

Essential Job Duties

  • Document Generation:

  • Create and maintain various documents, including:

  • Product Data Sheets (PDS): Detailed information about ingredients, including specifications, usage guidelines, and safety precautions.

  • Safety Data Sheets (SDS): Hazard communication documents that provide essential safety information for handling and using ingredients.

  • Nutritional Information: Compile and verify nutritional data for ingredients and finished products.

  • Ingredient Labels: Generate complete and accurate labels for use in production environment at contract manufacturing facilities.

  • Collaborate with cross-functional teams (R&D, Quality Assurance, Regulatory Affairs, etc) to gather accurate data.

  • Assist in project direction and collaboration for IBI (Ingredients by Imbibe).

  • Update existing documentation sets as appropriate and necessary.

  • Maintain file structure on internal network drive.

  • Supplier Compliance Support:

  • Support Supplier Compliance Associate with raw material documentation review.

  • Prepare raw material documentation for final review by confirming supplier document accuracy, validity, and completeness.

  • Maintain documentation within various document repositories used within the Company.

  • Collaborate with raw material suppliers to obtain requested item or supplier information and respective documentation.

  • Quality Assurance:

  • Maintain high standards of accuracy and completeness in all documentation.

  • Ensure consistency across different types of documentation.

  • Follow established procedures for document control and version management.

  • Drive aspects of raw material process in conjunction with other team members.

  • Regulatory Compliance:

  • Stay informed about relevant regulations and industry standards.

  • Update documentation as needed to comply with changing requirements.

  • Participate in audits and inspections related to documentation practices.

  • Collaboration:

  • Work closely with product development teams to capture accurate ingredient information.

  • Coordinate with suppliers and vendors to obtain necessary documentation.

  • Communicate effectively with internal stakeholders.

  • Other duties as assigned.

    Minimum Qualifications

  • Education: A high school diploma or equivalent is required. Additional relevant certifications or coursework in food science, nutrition, or related fields are advantageous.

  • Experience: Minimum 1-3 years experience in Food and/or Beverage Industry, primarily in a Regulatory, Quality, or Technical role.

  • Communication Skills: Excellent written and verbal communication skills are essential for creating clear and concise documentation and interacting with colleagues and customers.

  • Attention to Detail: Accuracy is critical when handling ingredient specifications and safety information.

  • Organizational Skills: Ability to manage multiple tasks, prioritize work, and meet deadlines.

  • Technical Proficiency: Familiarity with Microsoft Office Suite.

  • Collaborate effectively with cross-functional teams and demonstrate a positive attitude.

  • Working knowledge of:

  • 21 CFR 117 Food Safety and Modernization Act (FSMA)

  • 21 CFR 101 Food Labeling

  • HACCP / HARPC

    Preferred Qualifications

  • Working knowledge of:

  • TraceGains

  • SharePoint

  • Wrike or equivalent project management software

  • Product formulation software (Formulator)

    Working Conditions

  • Position is eligible for hybrid work schedule.

  • Position is based in an office environment.

  • No travel expectations for this position.
