Associate Director, PMO People & Process Lead

Global Project and Alliance Management (GPAM) sits in the Research & Development organization at our company. Our GPAM mission is to drive pipeline progression as enterprise leaders through organizational alignment and integrated planning and execution. The Project Management Office (PMO) within GPAM enables pipeline progression and cross-functional execution by integrating planning capabilities, data science / engineering, and insight generation into our Research & Development governance, planning, and monitoring ecosystem. We provide the tools and capabilities that help our Project Managers, Alliance Managers, and Governance Managers navigate Research & Development product development lifecycles, Research & Development pipeline governance processes, and annual Research & Development business planning cycles. We also own pipeline and project portfolio information for the Research & Development division and provide Research & Development Executives, Functional Leaders, and Research & Development Finance with information to help them monitor the progression of our pipeline and make informed decisions to manage their parts of the Research & Development division.

The Associate Director, PMO People & Process Lead, is a unique role that will be heavily client-facing, accountable for generating a deep understanding of how our clients navigate business processes and enabling systems to deliver their job responsibilities. In this role, the candidate will convert that client-facing knowledge into a roadmap of prioritized improvements to our infrastructure (e.g. knowledge management, training, and enabling systems) and drive initiatives on that roadmap that improve processes and overall user experience for our clients across the planning and control ecosystem.

Under the broad guidance of the Executive Director, Head of our division's GPAM Project Management Office, the core responsibilities for this position include:

Key Responsibilities

  • PMO owner and steward of “Development Project Manager” user persona; accountable for defining business process user stories and user experience improvement roadmap.

  • PMO owner and steward of business process management and knowledge management strategy for project-management-centric activities.

  • PMO owner and steward of PMO components of project management-centric training strategy, curriculum, content, and improvement roadmap.

  • e.g., what should be new hire vs. just-in-time vs. recurring reinforcement vs. ad-hoc refresher training and what is the best channel / method to distribute that knowledge.

  • PMO owner of the PMO knowledge management capability, including strategy and improvement roadmap and the content update, review, approval, and archival process.

  • PMO owner for the training forum; accountable for curating and defining a quality annual calendar of topics that achieve the purpose and goals of the forum.

  • PMO owner of the PMO FAQ capability driving a vision that supplements formal knowledge management, building a searchable and readily accessible knowledge store for our community of clients that grows over time.

  • Delivery lead for PMO Project Management onboarding training and PMO Project Management recurring reinforcement training.

  • Owner of content creation roadmap for knowledge management / training and lead for content creation for knowledge management / training.

  • Lead for triaging Project Management requests for assistance so users get to the best content for their needs (e.g., training, knowledge management, FAQ), with a goal of minimizing escalations to the PMO/ IPP resources, while identifying improvements to existing available resources.

  • Lead for user experience / process improvement initiatives across PMO user personas (analysis, design, build, implementation prep, implementation, hyper care).

  • Lead for change management for PMO enhancements impacting Development Project Management user persona and any other owned user personas.

Qualifications, Education, Experience, and Skill Requirements

Required Qualifications

  • Bachelors degree required.

  • Minimum of 4 years of experience in drug development within a pharmaceutical and/or a biotech company and/or professional services firm focused on providing pharmaceutical / biotech Research & Development consulting services.

  • Minimum of 2 years of drug development project management experience and/or a minimum of 2 years of experience in business analysis and/or executing strategic initiatives.

  • Proficient in Microsoft 365 suite of tools (i.e. Word, Excel, PowerPoint).

  • Demonstrated dedication to client service and client relationship management.

  • Excellent communication and presentation skills.

  • Strong stakeholder management and change management skills.

  • Ability to establish good working relationships and partner with networks of employees of all levels, fostering collaboration within and across organizational boundaries.

  • Strong internal and/or external professional network of Research & Development project managers.

  • Ability to be detail-oriented, but keep overall “big picture” view of projects and strategies.

  • Demonstrated ability to take complex topics and break down into easy to understand written or verbal content that can be easily digested by a variety of different consumption preferences.

  • Demonstrated creative problem solving within organizations and teams.

  • Demonstrated ability to identify and deliver process and/or system. improvements

  • Ability to understand how people deliver their job responsibilities and what they need to be efficient at their job, and be able to translate into process documentation and system requirements.

Preferred Qualifications

  • Project management certification (PMP) and/or formal coursework / training in project management.

Travel

  • Minimal, approximately 5-10%

  • In addition, applicant must be willing to work in office (Rahway and/or Upper Gwynedd) for at least 3 days/week, subject to departmental hybrid work policy.

U.S. Hybrid Work Model

Effective September 5, 2023, employees in office-based positions in the U.S. will be working a Hybrid work consisting of three total days on-site per week, generally Tuesday, Wednesday and either Monday or Thursday, although the specific days may vary by site or organization, with Friday designated as a remote-working day, unless business critical tasks require an on-site presence. Expected salary range:

$135,500.00 - $213,400.00
