Job Description

The role reports into the Executive Assistance and Travel Management Lead for Manulife Business Processing Services (“MBPS”). The Administration Analyst is responsible for providing virtual support to the Global Institutional Business Function. He/she will be responsible for the effective management of priorities through high quality administration, coordinates meetings, assists in agenda preparation, and follows through on meeting actions for the Global Institutional Business Function.

Role and Responsibilities

The Administration Analyst is primarily responsible for the effective management of priorities through high quality administration and follow through of deliverables.

Administration and business support responsibilities include the following:

• Manage agenda, coordinate pre-read materials and track action items for leadership team and business review meetings.

• Coordinate with Communications to effectively cascade internal messages.

• Manage Team Distribution lists and governance forum e.g. Global Institutional Leadership Team, Distribution Partners, Distribution Oversight etc.

• Coordinate agenda and logistics for leadership team offsites.

• Support with special projects as needed.

• Assist in creating draft presentations if needed.

Other responsibilities include the following:

• Perform administrative assistance duties to the Global Institutional Business Unit which includes but not limited to calendar management, facilitate travel requirements and handle expense reimbursement.

o Organising complex travel itineraries including visas, and processing expenses (experienced with Concur or similar system).

o Adept with scheduling across multiple timezones.

Qualifications

• 6+ years of relevant experience in an Administrative Assistant role.

• Strong oral/written communication skills required to interact with senior officers and representatives .

• Excellent meeting planning and organizational skills (planning, coordination, priority setting, task management and follow through).

• Highly collaborative and results-oriented.

• Proficient in making reports and deck/presentations.

• Advanced Proficiency in MS Outlook.

• Proficient in MS Office Suite includes Power Point, Excel, Word, One Note.

• Strong interpersonal skills and ability to work effectively across cultures. Excellent English written and verbal communication skills.

• With basic Project Management skills.
