Kiliuda Consulting LLC, a subsidiary of Three Saints Bay, LLC, and government contracting industry leader is looking for a Secretary/Travel Coordinator to support our customer in Rockville, MD

Responsibilities:

  • Provide administrative support to the Branch Chief, Deputy Branch Chief and Clinical and Scientific Manager during execution of day-to-day functions, planning and implementation of projects, including setting priorities, managing assigned tasks, monitoring project status, reviewing deliverables, and providing status updates.

  • Takes assignments from the Administrative Officer in the form of personnel packages, travel support requests, pay and security access systems, and FTE/non-FTE related actions for the branch.

  • Assists with purchase requests and regulatory compliance for the clinical and basic science sections.

  • Provides administrative support to the branch’s academic programs: residency and fellowships.

  • Coordinate, plan, prepare and edit documents for submission related to Branch Chief’s professional activities, such as boards and committees.

  • Maintains supervisor’s daily calendar, making appointments, arranging conferences and meetings without specific prior approval based on knowledge of the supervisor’s schedule.

  • Coordinate the planning of scientific meetings, including communications with distinguished lecturers, invited guests and participants, registration and meeting logistics.

  • Plan, coordinate and comprehensively handle logistics for Branch Chief’s domestic and international travel, including outside activities and sponsored travel.

  • Maintain databases for tracking, analyzing and reporting of all activities including, professional activities, travel, and project management.

  • Follow up on all assigned projects and correspondence to ensure that timely completion of tasks and/or deadlines is met.

  • Obtain information and data for Branch Chief; review and summarize materials and data. Gather and coordinate information for review, conduct data entry and file maintenance, edit and or prepare text, data and charts as needed.

  • Prepare a variety of documents to include, but not limited to letters, memorandums and any other assigned material, (reports, schedules, agendas, manuscripts, abstracts, graphs etc.); obtain clearances as needed.

  • Prepares and gathers material for use in reports, presentations and speeches of the supervisor. This includes maintaining a file of visual aids for use in presentations and making all arrangements for the presentations.

  • Receives all visitors and telephone calls to the supervisor. Screens calls by determining the nature and purpose of the call referring calls not requiring the supervisor’s attention to other staff members or handling the matter personally. When calls must be referred to the supervisor the incumbent furnishes the supervisor with information readily obtainable to aid in the discussion.

  • Controls all correspondence. Receives all incoming unclassified mail for the supervisor and maintains a daily log of all official mail. Follows up on incoming mail to ensure timely and appropriate action. Reviews all outgoing correspondence for neatness, accuracy, adherence to established format and adherence to the supervisor’s policies. Drafts correspondence such as routine official correspondence, social and personal acknowledgments, congratulatory letters, acceptance letters and routine office reports.

  • Assist staff with other clerical and administrative tasks as necessary.

Requirements:

  • US Citizen

  • Ability to pass a pre-employment background check

  • Ability to pass a Public Trust background investigation

  • High School Diploma and/or two years’ of hands on related administrative experience

  • Ability to analyze, review, coordinate and provide executive expertise

  • Excellent written and verbal communication skills

  • Strong MS Office Suite skills (MS Word, Excel, Outlook, SharePoint, PowerPoint)

  • Advanced computer skills to perform word processing, spreadsheet management, and conduct advance internet research

  • Experience preparing and coordinating travel requests

  • Experience preparing and submitting purchase requests
