Aston Carter Administrative Assistant in Saint Louis, Missouri

Description:

• Managing and distributing information within an office

o Answering phone

o Taking memos/messages

o Monitoring general voicemail box

o Filing

o Faxing

o Photocopying

• Manage supplies and service of photocopier

• Taking care of guests/visitors & meeting preparations

o Greeting guests

• Making sure guests sign in

• Need to give visitors badges

o Ordering and picking up lunch, snacks, beverages, etc

o Provide excellent hospitality to our guests/visitors

• Enter and post time sheets and time books

• Creation of Job Packets for the St. Louis plant

• Help Purchasing Group (Mike & Adam):

o PO acknowledgement retrieval

o Run Past Due Purchase Order Report and contact vendors accordingly

o Help in sending out material quotes to vendors as required

• Help Accounting - (Kerri)

o Run Accounts Receivable Aging Report and contact customers accordingly

o Filing of bills etc.

• Configuration Management

o Configuration control and distribution of TDP's

• Managing mailing or distribution lists, such as Christmas cards

• Customer service

• Assisting in various daily operations

• Arrange corporate events to take place outside of the work place,

• Reservations

• Maintain an organized filing system of paper and electronic documents

• Uphold a strict level of confidentiality

• Develop and sustain a level of professionalism among staff and clientele

Additional Skills & Qualifications:

  • At least 2 years of administrative experience

  • Comfortable with Microsoft Office products

  • Good communication skills (both written and verbal)

  • ERP is a plus

  • Sharepoint is a plus
