Senior Executive Assistant to Engineering

Location: Fully Remote, must reside in a Mountain Time Zone state

What you’ll be doing:

You'll be assisting our Senior VP of Engineering and her leadership team; you’ll play a key role in HireVue’s engineering team’s success! We’re looking for someone who can anticipate needs and proactively bring the right people and resources together. You’ll manage critical aspects of deliverables and special assignments by establishing objectives, have excellent reporting capabilities and a high level of confidentiality (see first bullet below), help determe priorities, manage time, gain cooperation of others, monitor progress, problem solve, and make adjustments to plans. Phew! We know that’s a lot but that’s because your work will have a high impact, which means you should be excited to continually explore opportunities to demonstrate yours and the engineering team’s value.

To give you a better idea, here are some of the specific tasks you’ll be owning:

  • Reporting on data from internal information and ticketing systems for both personnel or projects related summaries. You’ll be the go-to person to provide visibility into what's happening where, which will inform many aspects of strategy for the engineering leaders.

  • Manage executive calendars, including scheduling internal and external meetings and resolving scheduling conflicts

  • Participate in meetings, take notes, and follow up on action items

  • Prepare presentation materials or other important internal communications

  • Solicit a wide range of suggestions, make unified proposals, and then implement them

  • Improve quality results by studying, evaluating, and re-designing processes, implementing changes

  • Coordinate logistics for off-site or virtual meetings and team-building events, as well as host internal departmental All-Hands meetings

  • Arrange domestic and international travel

  • Prepare expense reports, create and manage purchase order, and coordinate vendor subscription renewals

  • Maintain updated team alias/distribution lists, Slack channels, and shared team folders

  • Manage onboarding process for new senior leaders

  • Perform other duties and admin-related tasks and projects as assigned

Hiring Process:

  • We send you a link to use our awesome software and tell us more about yourself (includes an excel tech assessment and games)

  • We invite you to do a Live interview using our software, so you can meet the team. You’ll learn more about us while we learn more about you.


And now, for the nitty gritty:

  • Located in Mountain Time Zone, with typical working hours 8am-5pm, with occasional duties outside of this time window

  • Excellent written and verbal communication skills

  • Enthusiastic, self-motivated and with a can-do attitude

  • Able to manage multiple leaders/executives with different working styles

  • Demonstrated success where personal results and accountability are evident

  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

  • The capacity to independently see a project through from start to finish

  • Proficiency with Google apps, Microsoft Suite, and Zoom

  • Demonstrable exceptional skills with MSExcel/GoogleSheets, MSPowerPoint/GoogleSlides, and project management

  • Experience working at a start-up or rapidly-growing company preferred

  • History of building relationships across groups and levels

  • Strong work ethic and high level of integrity

  • Ability to maintain confidentiality and practice discretion in your everyday work

  • Agile and flexible in response to changing priorities and needs with the ability to pivot quickly

  • Thrive in an unstructured environment, and at times, with minimal direction

Ideal Experience

  • Bachelor's degree or equivalent work experience

  • 5+ years of experience in an administrative support role, preferable supporting engineering teams
